Wilson Sonsini Goodrich & Rosati, UK LLP is seeking an experienced Office Supervisor to oversee the day-to-day operations of our London office. In this highly visible role, you will serve as a central resource for attorneys and staff at all levels, collaborating closely with teams in various locations – in London, the US, and elsewhere across the firm. This position is ideal for someone who is proactive, highly organized, and detail oriented. The Office Supervisor will serve as the operational backbone of the London office, ensuring a safe, well-maintained, and efficiently run workplace for approximately 70 attorneys and business professional staff. Regular in-office presence is required to support collaboration, events, and business needs while upholding all firm policies and standards of conduct.

Office Operations and Facilities Management

  • Manage the daily running of the London office, including reception, office services, facilities, and health and safety compliance.
  • Serve as a primary point of contact for all facilities-related matters, liaising proactively with building management and external contractors.
  • Oversee day-to-day maintenance of the office environment, ensuring all areas are functional, well-presented, and compliant with firm standards.
  • Manage and coordinate planned and reactive maintenance works, ensuring minimal disruption to office operations.
  • Maintain an up-to-date asset register and track office equipment and furniture inventory.
  • Coordinate emergency response procedures for the London office.
  • Manage EA team allocations, staffing schedules, cover arrangements, and holiday approvals.
  • Monitor service level agreements and vendor performance, escalating issues and driving resolution where necessary.
  • Process purchase orders and invoices in a timely manner.
  • Identify opportunities for cost efficiency and service improvement across supplier arrangements.
  • Manage vendor visits and confidentiality agreements.

Health & Safety Compliance

  • Act as a key member of the London office Health & Safety team, maintaining compliance with UK health and safety legislation including the Health and Safety at Work Act 1974 and associated regulations.
  • Conduct and review risk assessments, fire risk assessments, and DSE assessments, ensuring records are current and remediation actions are tracked to completion.
  • Coordinate fire drills, first aid provision, and building evacuation procedures; maintain accurate records of all safety-related activities.
  • Liaise with the firm’s Health & Safety advisors and external regulators as required, and keep abreast of developments in UK workplace safety requirements.
  • Deliver induction briefings for new joiners covering office safety procedures and facilities protocols.

Administrative Supervision

  • Provide day-to-day supervision of reception, office services, and executive assistant teams.
  • Update and maintain internal lists such as EA/attorney assignments, holiday PTO coverage calendar, and recognition notes.
  • Assign attorney/executive assistant pairings and update these assignments in Workday.

Event & Engagement Coordination

  • Coordinate office, Community Impact, and DEI engagement events, including processing of related invoices/expense reimbursements, interfacing with vendors, working with property management to obtain COIs and contracts, and assisting with the creation of calendar invitations to various events.
  • Lead the London Community Service Committee to assist with facilitation and coordination of events.
  • Maintain and update the London office events calendar on the Intranet.
  • Take an active role in fostering a positive, inclusive, and welcoming office culture that promotes employee engagement and continuous improvement.

General & Ad Hoc Projects

  • Support additional office initiatives and special projects as needed.
  • Maintain regular in-office attendance as required to support business needs, team collaboration, and on-site events.
  • Adhere to and uphold all firm policies, procedures, and standards of conduct.

Experience & Attributes

  • 5+ years of experience in in a similar supervisory role within a law firm or professional services environment.
  • Excellent computer proficiency (MS Office – Word, Excel and Outlook).
  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external clients.
  • Highly organized, proactive, and solutions-oriented with a focus on continuous improvement.
  • Ability to manage multiple priorities and deadlines with efficiency and composure.
  • Exceptionally responsive and reliable in managing emails, requests, and follow-through.
  • Demonstrates strong interpersonal skills with the ability to build rapport and work effectively with individuals at all levels of the organization.
  • Maintains impeccable attention to detail and accuracy in all aspects of work.
  • Genuinely invested in fostering community and positive relationships within the office.
  • Handles confidential and sensitive information with discretion and professionalism.
  • Flexible and willing to participate in occasional after-hours office events as needed.
  • Solid working knowledge of UK health and safety regulations; a relevant qualification (e.g., NEBOSH General Certificate, IOSH Managing Safely) is desirable but not essential.
