We are currently seeking a Medical Receptionist to join our team at Willow Medical Practice. We are looking for a highly motivated and experienced Receptionist to join the team on a permanent part-time basis. We are looking for someone who is eager to learn and develop in the role and has a clear passion for helping patients.
Job Summary:
Hours: Part-time – Tuesday/Thursday/Friday (Shift Patterns: 9-5pm and 8-4pm)
The practice receptionist is the first point of contact for patients and visitors at the surgery. This role involves managing appointments, handling patient queries, maintaining patient confidentiality, and supporting the clinical team with administrative tasks.
Key Responsibilities:
- Reception Duties:
- Greet patients and visitors in a professional and friendly manner
- Answer incoming calls, deal with inquiries, and direct calls appropriately
- Book, amend, and cancel patient appointments using the practice’s computer system
- Check in patients on arrival and inform clinicians of their arrival
- Manage the reception area and ensure it is tidy and welcoming
- Administrative Support:
- Process repeat prescription requests according to practice policy
- File and scan documents into patients’ records using the practice clinical systems
- Update patient records with accurate and relevant information
- Support the team with recalls, referrals, and appointment reminders
- Handle patient registration and deregistration
- Communication & Confidentiality:
- Maintain patient confidentiality at all times
- Communicate effectively with clinical staff, colleagues, and patients
- Handle sensitive situations with empathy and professionalism
- Handle patient complaints in the first instance
- Follow data protection and safeguarding procedures
- Teamwork & Professional Development:
- Attend staff meetings and training sessions as required
- Participate in annual appraisals and continuous development

Person Specification:
- Essential:
- Excellent verbal and written communication skills
- Minimum GCSE English & Mathematics or equivalent
- Good IT skills and familiarity with Microsoft Office and clinical systems
- Ability to multitask and work in a fast-paced environment
- Friendly, professional, and empathetic manner
- High level of discretion and confidentiality
- Desirable:
- Previous experience in a healthcare or reception setting
- Knowledge of NHS systems such as Vision software
