Willmott Dixon has an exciting opportunity for a full time Executive Assistant to work out of our Head office based in Letchworth Garden City.

Working closely with the Chief People Officer, this role provides executive assistance and broader coordination across the People function, proactively anticipating requirements and supporting communication within the senior team, managing priorities, identifying challenges early and ensuring actions are followed through to completion.

Willmott Dixon supports hybrid working and you will normally to be in the office 3 days week and work from home 2 days per week.

Key responsibilities

  • Provide executive support to the CPO, including proactive inbox management and drafting email responses, managing travel arrangements, timely diary coordination, proofing, meeting preparation, action tracking, drafting reports and producing presentations that may require external research.

Ensure follow-up actions are tracked and completed.

  • Coordinate People Team administration and pay reviews.
  • Plan meetings, team events (lunches through to main events) and anticipate information requirements before and after meetings and events.
  • Co-ordinate the team recognition scheme.
  • Draft and coordinate People Team communications with the support of our National communications lead, draft business updates and lead the promotion of key initiatives and achievements across the People experience (PX) team.

Manage the PX calendar of events.

  • Support People experience team bid submissions.
  • Coordinate social value activity, support team volunteering initiatives and associated reporting across the team to central SV team.
  • Provide financial administrative support, including purchase orders, invoices, supplier management, budget support and reporting against forecasts.
  • Manage reporting of people team memberships and qualifications.
  • Proactively track People Team goals and measures and the leadership team actions to ensure deadlines are achieved and commitments are delivered on.

Anticipating information requirements before meetings and preparing in advance.

  • Executive support excellence: Proactive diary, inbox and stakeholder management for senior leaders.
  • Organisation & coordination: Managing multiple priorities, events, actions and deadlines with precision.
  • Communication & creative storytelling and design capability: Producing engaging communications, presentations and updates that bring People initiatives to life.
  • Action-oriented project coordination: Tracking commitments, identifying risks early and ensuring delivery.
  • Financial & administrative management: Managing budgets, invoices, purchase orders and reporting.
  • Technology proficiency: Sound AI capability, Strong Microsoft 365 skills, particularly Outlook, Power Point, Excel and Teams.
  • Experience within a People/HR function.
  • Internal communications, employee engagement or employer brand experience.
  • Data reporting and dashboard creation.
  • Event management and recognition programme coordination.
  • Social value, volunteering or community impact programme support.
  • Thinks ahead and takes ownership.
