A fantastic opportunity has arisen for an experienced administrator to join Willis Towers Watson within our modern, open plan office in Leeds city centre. This is an office based 12-month, 35 hours per week Maternity Leave contract. This is a challenging and rewarding role, drawing on and further developing strong administrative and organisational skills while supporting high‑quality client service delivery.

The ideal candidate will have previous experience in a similar client‑facing support role, be tactful and diplomatic, and enjoy contributing to the effective delivery and continuous improvement of core administrative processes. You will be a strong self‑starter who values teamwork and thrives in supporting others with day‑to‑day challenges.

The Role

  • Providing a seamless and reliable high level of administrative support to consultants and client teams.
  • Calendar management and meeting support, including scheduling, monitoring attendance, arranging venues, catering, AV/IT requirements, preparing materials and note‑taking where required.
  • Arranging travel, mailbox management (using initiative and with minimal intervention).
  • Maintain client files and records in line with Records Management requirements.
  • Support archiving activity, including recall and return of physical files where required.
  • Set up and maintain SharePoint TCTO sites and client workspaces.
  • Maintain Terms of Engagement and scope files and upload relevant contracts and documentation to the contracts database.
  • Produce client materials including reports, letters, meeting notes and presentations, in line with company templates, branding and house style.
  • Upload and share client meeting materials and support secure data‑sharing processes.
  • Support delivery of small to medium client‑related projects and workstreams, tracking actions and agreed outputs.
  • Manage the monthly billing process for allocated clients, including budget tracking, ensuring internal billing processes and controls are followed.
  • Prepare complex client billing accurately and on time.
  • Support efficient follow‑up of Work in Progress (WIP) and Accounts Receivable (AR) queries.

Qualifications

  • Previous experience in a similar client‑facing administrative or professional support role.
  • Strong organisational skills with the ability to prioritise work, manage competing demands and meet deadlines reliably.
  • High level of accuracy and attention to detail with strong numeracy skills and confidence working with billing and financial data.
  • Excellent written and verbal communication skills, with the ability to work effectively with colleagues at all levels.
  • Highly competent in using Microsoft Office 365 (Word, PowerPoint, Outlook and Teams), with a strong knowledge of Excel.
  • Ability to handle sensitive information with discretion and professionalism.
  • Proven analytical, organisational, and project management skills.
  • Strong interpersonal and teamworking skills, with the ability to collaborate effectively, build positive relationships and contribute proactively to team and client satisfaction.
  • Ability to work as part of a team is key, you must be willing to actively participate and contribute and use your initiative to help and support the team.
