What You’ll Do

As a Purchasing and Materials Coordinator, you’ll be responsible for sourcing, purchasing, and organising all materials needed to support Part-145 maintenance activities at Willis Aviation Services Limited. You’ll manage orders from request through to delivery — working with suppliers, arranging transport, tracking shipments, and ensuring all goods arrive on time and in compliance with industry regulations.

You’ll also maintain accurate inventory records, support production planning, and build strong relationships with suppliers and internal stakeholders to ensure a smooth, efficient flow of materials that keeps our operations running without delay.

Responsibilities

Purchasing & Order Management

  • Coordinate and process internal purchase requests
  • Issue purchase orders to suppliers and track progress to fulfilment
  • Chase outstanding orders to meet maintenance deadlines
  • Arrange transportation of goods and expedite deliveries where required
  • Resolve queries and process any rejected materials

Materials & Inventory Control

  • Keep materials data up to date within the production planning and inventory system; Avsight.
  • Monitor stock levels to ensure parts availability for scheduled maintenance
  • Liaise with planning teams to prioritise materials for upcoming work
  • Build and maintain strong working relationships with new and existing suppliers
  • Work closely with the Finance team to ensure invoices are processed accurately and on time
  • Provide clear, professional communication to both internal teams and external partners

Compliance & Safety

  • Work in accordance with applicable Part-145 and Part-M/CAMO requirements
  • Apply Human Factors principles in all purchasing and materials handling
  • Support a positive safety culture by reporting hazards and promoting continuous improvement

Other Duties

  • Undertake additional tasks as directed by the Planning & Records Supervisor

Qualifications / Requirements

  • Previous experience in a purchasing or materials coordination role
  • Experience with production planning and inventory systems (e.g., Avsight, AMOS, OASES)
  • Knowledge of Human Factors
  • Strong planning and organisational skills
  • Excellent attention to detail and analytical ability
  • Effective written and verbal communication skills
  • Strong interpersonal skills and the ability to work collaboratively across teams
  • Proficiency in MS Office and learning business systems
  • Aviation sector experience or knowledge of MRO operations
  • Knowledge of applicable Part-145 and Part-M/CAMO requirements
