The Travel Office Coordinator will be responsible for the coordination of travel activities for Atlassian Williams Racing, predominantly focussing on adhoc Company Business and Test Team related travel and events.
This role involves a combination of coordination and booking activities to schedule travel plans, as well as organisation and administration activities to share travel and booking details with the relevant teams and stakeholders.
This role will focus on the coordination of flights, hotels and ground transportation for the assigned teams, to support efficient business travel activities whilst ensuring adherence to department budgets and relevant company policies.
Key Responsibilities
- Arrange travels for approved travel requests including flights, accommodation, ground transfers and hire cars.
- Find best routings and fares for all departments by sourcing best options.
- Completion of flight manifest including input of passenger details
- Advises Travellers of and assists with any need for specialized travel documents such as visa and passports
- Handle and overseas all travel arrangements for F1-related business travel and sporting events
- Able to create and maintain accurate travel itineraries for multiple events
- In addition, as part of the Business Administration Department, coordinating administrative activities to meet deadlines and in accordance with Company policies and procedures.
- Assist with importing and entering Traveller Data into the relevant systems
- Maintain responsibility for keeping Traveller Data up to date via Williams Travel App
- Assist with importing and entering all other needed data such as accommodation, transfers etc.
- All team members within the Travel Office are required to provide ad-hoc out of hours support to assist with any travel issues that may arise out of office hours and weekends requiring urgent attention.

- Proven experience in business or corporate travel coordination.
- Strong problem-solving skills and ability to manage multiple priorities.
- Advanced MS Office skills (Outlook, Excel, Word).
- Excellent attention to detail and time management.
- GDS platform knowledge is a plus.
- Flexible and proactive approach, including availability for occasional weekend or bank holiday support
