Williams Lea seeks a Reception Assistant to join our team. Williams Lea is the leading global provider of skilled, technology-enabled, business-critical support services, with long-term trusted relationships with blue-chip clients across investment banks, law firms and professional services firms.
Purpose of role
The Reception Assistant (First Impressions Assistant) is the first point of contact for those calling or visiting our client's office. As brand ambassador, this role involves welcoming clients and visitors to the office, being approachable, and creating a positive first impression. Duties will include handling switchboard calls, providing services to guests and offering administrative support to the firm. Every task which is undertaken must be delivered with an exceptional customer service approach.
Key responsibilities
- Answer incoming calls, received on a multi-line phone system, in a cordial, professional and timely manner. Transfer calls to appropriate individuals.
- Greet clients and visitors to the office with warmth and professionalism. Notify employees of visitor's arrival when necessary.
- Provide high level services to staff, clients and guests.
- Communicate with manager and client on job or deadline issues.
- Handle additional projects as assigned.
- Handle sensitive and/or confidential documents and information.
- Support onsite Legal Admin team with tasks such as processing incoming and outgoing post, reprographics and digital bundle creation.
Personal attributes
- Minimum of two-years receptionist, first impressions assistant, switchboard or administrative assistant experience preferable in a banking, legal or large corporate environment.
- Exceptional customer service skills to effectively greet and communicate with callers and visitors.
- Ability and willingness to learn in-depth knowledge of the company (the business and employees) to more efficiently handle calls and greet visitors.
- Ability to work in a fast-paced team environment.
- Ability to effectively and professionally communicate with co-workers and clients.
- Attention to detail with an emphasis on accuracy and quality.
- Intermediate computer skills including Microsoft Word and Excel.
- Ability to prioritise work to balance multiple projects and deadlines.
- Excellent verbal and written communication skills.
- Self-motivated and the ability to multi-task.
