Contract: Full Time, Permanent

Shifts: 37.5 hours per week, Monday – Friday, 9.00am-5:30pm, 1 hour unpaid lunch break

Williams Lea seeks an Office Administrator to join our team. Williams Lea is the leading global provider of skilled, technology-enabled, business-critical support services, with long-term trusted relationships with blue-chip clients across investment banks, law firms and professional services firms.

Purpose of role:

The Office Administrator's principal role is to provide the client with the administrative support they need to provide seamless legal services to their customers and help them maximise the amount of time they are able to spend on fee-earning tasks.

Key responsibilities:

  • Support fee earners, PAs, reception and other business support departments as required.
  • Providing a defined administrative service, following standard operating procedures.
  • Delivering an exceptional electronic and hard copy file management service.
  • Sort, scan, rename, distribute incoming mail to the dedicated centralised filing area.
  • Manage outgoing mail, collate hard copy enclosures and obtain approval.
  • Provide photocopying, scanning, and printing as per customer instructions.
  • Handling original documents, such as wills and deeds.
  • Preparing engrossed and certified copies of original documents.
  • Preparing physical and electronic bundles for the Courts.
  • Raising queries and concerns with designated individuals, as required.
  • Maintain all filing and work areas in a tidy and orderly manner.
  • Hand delivery of confidential documents to courts.
  • Support the front of house team where required.
  • Support with H&S aspects for the office.

Personal attributes:

An office administrator values quality and delivery of work above all else and has the responsibility to ensure that their skill set is up to date and they are familiar with the company and client's departments, key personnel, internal systems and procedures. This will ensure that they are able to carry out their role effectively and, where appropriate, discuss any training requirements with their line manager.

You should also have:

  • Advanced knowledge of Microsoft Word, Outlook, Excel and other systems implemented by the firm.
  • Excellent communication, organisation and team skills.
  • Excellent attention to detail.
