Williams Lea seeks a Multi Services Assistant to join our team. Williams Lea is the leading global provider of skilled, technology-enabled, business-critical support services, with long-term trusted relationships with blue-chip clients across investment banks, law firms and professional services firms.
Purpose of role:
- Welcoming clients and visitors to the office
- Managing meeting rooms
- Organising and preparing hospitality
- Delivering hospitality and offering administrative support across the firm
Every task which is undertaken must be delivered with an exceptional customer service approach. To be successful as a Multi Service Assistant, you must have strong customer service skills and the ability to easily build rapport with people. A key skill will be your ability to prioritise urgent tasks in a timely and effective manner. This role requires working between Monday to Thursday, 8:30am to 17:00, working 7.5 hours per day. This is a hands-on role and will involve working alongside Williams Lea team members to deliver the overall service.
Key responsibilities:
- Welcoming guests in the office lobby as the main point of contact for any visitor/guest or employee for the organisation
- Ensuring a seamless and personal guest journey
- Processing and confirming meeting room requests
- Escorting guests to their booked meeting room within the building, informing the host of the guest's arrival
- Ordering, organising, delivering, clearing and assisting with hospitality and events
- Attending to guests' wishes and requirements
- Setting up audio visual systems and troubleshooting problems
- Populating data collection workbooks
- Continually monitoring reception inbox ensuring e-mails are responded to in a timely manner
- Booking of transport for employees and clients
- Occasional requirement to support client functions that run into the evening
Personal attributes:
- Previous experience in a front of house role or working on a reception desk for a corporate company
- Outstanding guest services skills, committed attitude and dedication to creating a memorable guest experience
- Team focused
- Fluent written and spoken English
- Professionally presented
- Great interpersonal skills and an outgoing personality
- Experience of email and Microsoft packages
