We are about to enter an exciting phase of growth and are looking for a highly organised and detail-focused Office Assistant to join us and significantly contribute to delivering the change we believe in.

The role:

We are seeking a highly organised Office Assistant to join our Operations team and support with the day-to-day running of our office spaces. The ideal candidate will possess excellent interpersonal skills and be able to multitask effectively to ensure the smooth operational running of our facilities.

Detailed responsibilities:

  • Manage daily office tasks
  • Reception duties and welcoming visitors
  • Ordering and replenishing office supplies, consumables, and refreshments
  • Running dishwashers, monitoring kitchen areas, checking stock levels, and supporting general tidying
  • Coordinating regular office catering and hospitality for meetings/events
  • Ensure an excellent office environment and staff satisfaction by acting as a friendly first point of contact for staff queries and support
  • Facilities management
  • Serve as primary point of contact for office facilities matters
  • Log, track, and resolve facilities issues and service requests
  • Maintain a positive relationship with building management and maintenance teams
  • Coordinate planned maintenance visits and contractor access
  • General administrative support
  • Minute taking in meetings
  • Support with travel logistics and booking
  • Inbox management for shared inboxes
  • Some diary management/meeting co-ordination responsibilities
  • Assisting with lab administrative tasks where needed
  • Health & Safety
  • Support with booking and tracking training sessions
  • Conduct routine tests and routine inspections
  • Ensure first aid, fire marshal, and safety equipment coverage
  • Maintain accurate and compliant H&S records

Knowledge and skills:

  • Practical, hands-on approach with a willingness to support day-to-day operational tasks
  • Strong organisational skills with the ability to manage multiple priorities
  • Excellent communication and interpersonal skills, with a friendly and professional approach
  • A proactive approach to problem-solving and taking ownership of tasks
  • The ability to work independently and as part of a team
  • Experience working in an office environment preferred
  • Experience working within health & safety guidelines preferred
  • A desire to develop your skills, share your knowledge, and support the growth of your teammates

Location: We’re headquartered in Milton Park, a business and technology park in Oxfordshire. The Office Assistant will be responsible for the smooth running of the workplace and key health & safety requirements. For this reason, we are asking that applicants be able to work on-site Monday – Friday. The successful candidate will be required to provide proof of eligibility to work in the UK.
