Whitstable Medical Practice is seeking an enthusiastic, motivated and patient focused Clinical Services Receptionist to join our friendly and supportive team based at Estuary View Medical Practice. The role will support both our busy reception team and wider Clinical Services department, ensuring patients receive a professional, welcoming and efficient service at all times.

Working Hours: 29.5 hours per week, Monday to Friday, on the following shifts:

  • Monday 08:00 – 16:00
  • Wednesday 07:30 – 15:30
  • Thursday 12:00 – 17:30
  • Friday 08:00 – 16:00

Pay: Starting hourly rate £12.71, rising to £13.15 per hour after 6 months’ successful probation.

Key Responsibilities:

  • Deal with patient enquiries over the telephone and face‑to‑face, booking appointments for in‑house clinics and ensuring smooth day‑to‑day running of all clinics.
  • Action and book referrals into available clinics.
  • Liaise with clinicians, solving any issues to ensure the best possible patient experience.
  • Manage the appointment screen, filling any empty or cancellation slots whenever possible.
  • Prepare clinic rooms each morning, ensuring clinicians have the necessary paperwork.
  • Send post‑clinic reports to external practices, ensuring the patient’s registered GP is informed in a timely manner.
  • Assist patients with tubing and maintenance of hearing aids where possible.
  • Ensure theatre and clinic rooms are clean and tidy after clinician departure.
  • Retrieve information from the E‑Referral booking system, book appointments and download referral letters.
  • Take delivery of items of stock and store them appropriately.
  • Manage patient‑related tasks forwarded by clinicians to the Clinical Services Reception team.
  • Work with various clinical IT databases.
  • Monitor the Clinical Services team email inbox, ensuring incoming referrals are actioned promptly.
  • Act on ad‑hoc tasks and assist with projects set by the Clinical Services Manager.
  • Pull and file notes for patients seen within the cataract service over the weekend.
  • Move equipment to facilitate clinics.
  • Collect the post each morning and afternoon.
  • Be familiar with, and help update, Whitstable Medical Practice protocols.
  • Perform other duties as directed by doctors as circumstances change.

Safeguarding Responsibilities:

  • Understand and fulfil safeguarding responsibilities.
  • Maintain safeguarding training requirements.
  • Identify and raise safeguarding concerns in accordance with practice policy.

Qualifications:

  • Essential: Good general education, including minimum Grade C GCSE (or equivalent) in English Language and Maths.
  • Desirable: Administration qualification.

Experience:

  • Essential: Previous experience of working in a primary care setting or NHS. Previous reception and administration work experience. Experience working in a customer service environment. Experience working as part of a team.
  • Desirable: Knowledge of EMIS or other clinical systems.

Skills and Abilities:

  • Accurate, thorough attention to detail.
  • Effective communication with people at all levels by telephone, email and face‑to‑face.
  • Excellent organisational skills with the ability to meet tight deadlines.
  • Proven IT skills, including use of Microsoft Office and other software packages.
  • Ability to keep calm under pressure.
  • Tact, diplomacy and sensitivity.
  • Ability to deal with sensitive issues and maintain strict confidentiality.
  • Problem‑solving skills and initiative.
  • Reliability and flexibility.
