THE ROLE

We are looking for a highly organised and adaptable Implementation Project Manager to join our expanding talented team of 1 PSO and 4 Project Managers. This role is pivotal in delivering successful implementations of our software solutions for local authority and contractor clients. The Implementation Project Manager will work directly with customer stakeholders at all levels—from operational staff through to senior contract managers—ensuring projects are delivered on time, to scope, and with the highest standards of service. You will play an important role that combines project management and configuration. The role will require the individual to utilise and develop their project management skills in managing all aspects of the project from liaising with sales, configuring the system, training and advising the client on best practice and keeping the project to scope. This will be managed using tools such as Monday.com and Excel. The role will have access to a mentor throughout who will check and monitor all projects that you undertake. This is a varied and hands-on role that requires excellent communication, analytical thinking, and the ability to perform under pressure. This position reports to the Head of Implementation and Projects.

WHAT YOU’LL DO

As an Implementation Project Manager, you will coordinate project management activities for each specific project that you are assigned, as well as completing some configuration and the project admin documentation. The projects may be full implementations of the Whitespace solution or smaller bespoke projects such as dataloads or template creation. Your duties will vary from day-to-day. However, for the most part, you will be responsible for the integral activities in line with the project scope and will have overall responsibility for all activities within the project. This will include requirements gathering, updating documentation, verifying requirements and data, monitoring implementation schedules, undertaking system configuration set-up, delivering training and liaising with key stakeholders. Most of your training will be done ‘on the job’ under the supervision of your mentor. However, you will also get the opportunity to take part in in-house training sessions.

Examples of some day-to-day tasks you will be involved in include:-

  • Following the agreed project management methods, standards and processes throughout all Implementations / project lifecycle.
  • For the larger implementations, produce and maintain project documentation using our standard templates including project plans, kick-off presentation & Project Initiation Document.
  • Improving and maintaining standardised documentation for projects.
  • Maintaining risk and issue logs, generating change control requests and producing all the documentation for each project.
  • Collating client requirements to produce client scoping documents for all small tasks/dataloads
  • Undertaking checks on the system post configuration changes and dataloads.
  • Guiding and advising the customer on best practice for the setup of Whitespace
  • Working with other team members assisting on their projects as and when required

WHAT YOU’LL BRING

  • Previous experience of working in a Project Office or Support environment.
  • Specific experience in a data driven project/ support role.
  • Ability to organise and manage multiple priorities under time pressure, trouble-shoot, and to meet short and long-term deadlines.
  • Demonstrate initiative and be able to prioritise without supervision.
  • Able to demonstrate critical thinking and analytical skills.
  • Previous teamworking experience and equally able to evidence being able to work effectively independently.
  • Excellent written and verbal communication skills.
  • Thorough familiarity and proven experience with MS Office.
  • A ‘can do’ attitude, the role holder will be able to demonstrate that they are keen to learn and develop their project support officer skills and competencies.
