We seek a motivated and experienced Office Manager to join our client’s London-based practice. The practice is a small team covering the Essex and London areas, and the office manager position is based in the London office. The business has been operating for many years and has a strong history of working on single‑dwelling, housing and conversion projects. They pride themselves on providing excellent customer service with a personal touch to ensure the client relationship is as natural as possible.

They are now looking to acquire the services of an Office Manager to join their team, working full‑time to provide all‑around administrative and financial support, using Xero. The ideal candidate will be someone from an architecture/construction background with proven admin experience and who has used Xero or a similar platform. You must also be confident speaking on the phone and picking up additional tasks within the role when required.

The Role
  • To complete general administrative tasks and secretarial duties within the office.
  • To perform bookkeeping, credit control and invoicing. The company also has the support of an accountancy company, which submits the tax returns and provides general support to the company/office manager role.
  • Creating leads and enquiries, managing CRM, using HubSpot.
  • Answering incoming calls to the main office line.
  • Performing administrative tasks for Party Wall Surveying when needed.
  • Dealing with the accountant for HR needs and expenses.
  • Communicating with clients and consultants.
  • Obtaining quotations from engineers, consultants and other parties.
  • Using Asana to manage all administrative work.
  • Doing occasional cold calling and emailing to new businesses to introduce the company.
  • Managing social media and marketing posts/emails occasionally.
The Candidate
  • Previous experience in administration within the architecture/construction industry is essential.
  • Confidence in using Xero or a similar program.
  • Hybrid working, 3 days per week in the office, 2 days per week at home (although if preferred, the role can be entirely office-based).
  • Previous experience using a CRM, ideally HubSpot.
  • Good Microsoft Office skills, including basic Excel.
  • Comfortable speaking on the phone.
