White Red is looking for a proactive office assistant to join its team based in Shoreditch, London.
The office assistant will work alongside the studio manager, providing support to the directors and team, ensuring the smooth running of the office, and being the first point of contact for guests and visitors.
Key responsibilities:
- Reception duties including meeting/greeting guests and preparing drinks
- Keeping the kitchen and studio tidy
- Ordering supplies (stationery/cleaning/refreshments)
- Distributing post and deliveries
- Organising lunches for team CPDs and meetings
- Lead IT setup for new starters and coordinating with external IT provider
- Manage procurement and allocation of computer hardware, maintain IT asset register and provide support for ad hoc IT issues
- Administer software license allocation and renewals
- Sample library management and support to the studio sustainability team and initiatives
- Support document control systems, ensuring compliance with studio standards and supporting project teams
- Manage organisational tasks within the office, including ongoing decluttering and storage
- Provide general support to the studio manager and directors
- Occasional diary management
Key skills and experience:
- Some previous experience is essential
- Strong communication skills (both written and verbal)
- Self-motivated
- Strong organisational skills and an ability to work under pressure, often autonomously
- Strong knowledge of Microsoft Office
- Confident problem solver who uses their initiative
