Responsibilities

  • Provide diary management and administrative support to senior leadership, including PA assistance and coordination of business activities.
  • Deliver comprehensive administrative support to a wider team, with a focus on financial processes such as purchase orders, invoicing, and billing.
  • Process and track invoices, ensuring accuracy, correct coding, and timely submission for payment.
  • Maintain accurate financial records, trackers, and supporting documentation to support reporting, audits, and internal queries.
  • Liaise with internal departments and external stakeholders to resolve invoice queries, discrepancies, and payment-related issues efficiently.
  • Manage and maintain documentation, including tracking and updating contractual and property-related records.
  • Support the wider team with general administrative duties to ensure smooth day-to-day operations across departments.

Requirements

  • Proven experience in real estate administrative roles with familiarity in property management systems.
  • Confident in learning new systems and extensive knowledge of Excel.
  • Strong administrative experience including data entry, filing, office procedures, and legal documentation management.
  • Excellent customer service skills with professional phone etiquette and conflict resolution abilities.
  • Experience in property leasing, facilities management, or property maintenance is highly desirable.
