This temporary Consultant role (12 month FTC) provides operational support to the E&D Operations team, with a particular focus on three priority projects: the rollout of the new LMS (Workday Learning), the development of new budget and expenditure review processes, and the centralization and merging of documents and processes for the combined E&D functions, as well as support for mandatory and compliance training.

The role will assist with project planning and basic budget coordination for E&D, including supporting annual budget preparation, helping to compile and review monthly expenditure reports and coordinating routine interactions with Finance on budget and expenditure processes. The role involves close collaboration within the E&D team, Engagement and L&D colleagues, global and regional committees and other internal stakeholders. It requires clear, practical communication with diverse audiences and effective use of technology and document management to support process improvements and ensure E&D activities are delivered efficiently and consistently during this transition period.

The Engagement & Development Team is responsible for:

  • The professional skills curriculum for lawyers and Business Services professionals
  • Mandatory and regulatory compliance training
  • The Firm’s Coaching Office and global mentoring initiatives
  • Lawyer and Business Services professional participation in committees and Firmwide initiatives
  • Engagement surveys (e.g. People’s Voice) and other listening mechanisms
  • Recognition programs
  • Induction and exit strategies
  • Global Affinity Networks, which are open to people of all backgrounds

Duties and Responsibilities:

  • Support E&D Operations with annual budget processes, including consolidating budget inputs and helping prepare monthly expenditure reports for review, highlighting key variances and issues.
  • Maintain E&D organizational documentation, including org charts and role descriptions, ensuring files are accurate, updated and stored in a central, easily accessible location to support the merging of Engagement and L&D materials.
  • Coordinate and maintain the central filing system for the E&D team via iManage, applying agreed structures and practices to support effective information management and the centralization of documents across the combined functions.
  • Support the development and implementation of improvements to E&D processes, tools and ways of working by following updated procedures related to the merger and sharing practical suggestions for streamlining tasks and documentation.
  • Use available technology and data tools, including Workday Learning and iManage, to help simplify workflows, improve reporting quality and support efficient delivery of E&D and Engagement activities during the six-month workload increase.
  • Provide coordination support to the Firm’s affinity groups and women’s networks, including assisting with professional development activities, tracking follow-up actions and preparing tailored communications under guidance from relevant leads.
  • Assist with planning and logistics for periodic events and programs across offices for Global Engagement Initiatives, including internal and client-facing speaker series, ensuring arrangements are in place and aligned with event requirements.
  • Provide administrative support for sponsorships of professional conferences and events linked to Global Engagement Initiatives, including attendee outreach and registration, invoice processing and coordination with Marketing on materials.
  • Help with the administration of compliance and mandatory training programs in Workday Learning as part of the LMS rollout, including course setup, scheduling, enrollment and tracking completion for participants.
  • Monitor completion of Compliance training programs in Workday Learning, ensuring accurate records of attendance and certification status and following up on outstanding completions as directed by the Engagement and L&D teams.
  • Support the development, deployment and user acceptance testing (UAT) of eLearning modules in Workday Learning by uploading content, checking accessibility and confirming alignment with organizational requirements, specifically for third-party courses from SkillBurst and VinciWorks.
  • Coordinate logistics with internal stakeholders — including Events, office reception and concierge, HROD L&D, audio-visual, technology, catering, facilities and travel agency teams — to support the delivery and rollout of Compliance training programs.
  • Assist with the production of program materials, management of digital resources and tracking of budgets and expenses for training programs, including processing vendor invoices and maintaining documentation for key external vendor relationships.
  • Maintain and update iManage workspaces, Connect intranet pages (where applicable), ServiceNow knowledge articles and Firm calendars to ensure program and event records, trackers and merged documentation remain current.
  • Monitor ServiceNow cases related to training and LMS rollout, escalating queries as appropriate and helping ensure timely resolution during the transition period.

Qualifications:

  • Demonstrated interest in talent engagement, professional development and affinity or diversity initiatives in the workplace, with a strong client service mindset.
  • Clear and confident communication skills, both written and oral, with the ability to provide accurate information and updates to different audiences and work effectively with colleagues at various levels.
  • Ability to deliver reliable, high-quality work under pressure, with strong time management, organizational and task management skills and close attention to detail when handling multiple priorities and tight deadlines.
  • Experience working collaboratively in a professional services or similar fast-paced environment, with an inclusive, culturally sensitive and team-oriented approach to building strong working relationships.
  • Good awareness of business and operational needs, with the ability to understand Firm priorities and apply this insight when supporting E&D, engagement and training activities.
  • Strong Excel skills and good proficiency in Word, PowerPoint and core systems such as LMS platforms (e.g. Workday Learning), iManage, intranet and basic CRM or database applications to support reporting, documentation and information management.
  • Proven ability to use technology and systems to streamline administrative tasks, maintain accurate records and support efficient processes, particularly in relation to data management, document filing and training coordination.
  • Proactive and resourceful, able to work on own initiative within clear guidelines, with a willingness to contribute practical suggestions for improving processes and ways of working during the transition period.
  • Experience supporting project coordination and logistics, including events, training programs or similar initiatives, ideally within a legal or professional services organization.
  • Degree-level education or equivalent experience, with at least two years’ experience in an administrative or coordination role in a complex, fast-paced setting.
  • Flexible, committed and enthusiastic, with the ability to work occasional evenings and weekends where needed to support global events, training rollouts and time zones.

This position is based in the Firm’s London office. Our standard office hours are 09:30-18:00, with a requirement for 4 days (Monday to Thursday) in the office per week. This role reports to the Advisor, Engagement and Development (Global) with an indirect reporting line to the Associate Director, Engagement and Development (Global).
