Role - Receptionist
Location - on site London office
General
The role holder will be the first point of contact for Whitby Wood and provide support to the companies which hold space within our premises. They will be central to the smooth and effective operation of the building.
Reporting to the Office Manager, the Receptionist will have primary responsibility for the day to day running of the facilities including the meeting rooms, breakout space and kitchens.
Front of House
- Welcoming guests, answering the phone and door.
- Managing the meeting room booking system.
- Maintaining and setting up meeting rooms; ensuring that they are clean and ready for use.
- Assist with catering for meetings.
- Coordinating with IT Support to ensure video conferencing is set up when required.
- Maintaining the kitchen is well stocked with supplies including tea, coffee, fruit and milk.
- Organising the breakout space and, when required, assisting with event set up.
- Assisting in the running of company employee events and activities.
- Inviting sub tenants to CPDs.
- Ordering lunches and refreshments, sorting and distributing post and deliveries.
- Coordinating with the support team on onboarding/offboarding of employees.
Travel
- Booking and logging travel and accommodation for the teams.
Office/ Building Support
- Ordering and checking office supplies.
- Maintaining office info boards.
- Supporting the Office Manager with ad hoc and building management tasks.
Criteria
- Strong communication and customer service skills, with a friendly and professional manner.
- Excellent organisational skills and attention to detail.
- Ability to multitask and prioritise across a busy front of house workload.
- Basic IT/AV competence, including setting up video conferencing equipment.
- Ability to handle sensitive information with discretion.
- A proactive, hands-on attitude and willingness to support ad hoc building and event tasks.
