ABOUT THE ROLE
We're looking for a sharp, organised and proactive Project Coordinator to join Whipped Cream. You'll
work closely with the account management and production teams to keep projects running smoothly
and support delivery across experiential + creative work.
This is a role designed for someone who loves detail, thrives in motion, and takes pride in being the
person who keeps everything (and everyone) moving. From project logistics and timelines to
research, briefs and coordination - you'll be the glue across internal and external teams.
Some days you'll be on-site supporting live delivery; others you'll be deep in spreadsheets, briefs,
research or coordination. We need someone hungry to learn, excited to grow inside an agency
environment, and energised by the variety of our work.
It's a rare opportunity to be embedded at the heart of a growing studio and learn directly from
senior leads. You'll report directly into our account management and production leads, working
alongside them on live briefs day to day.

WHAT YOU'LL BE DOING
You'll support projects and clients with clarity, organisation and energy - ensuring the studio operates
smoothly day to day.
Project Coordination
- Support the Account and Production teams in delivering projects end-to-end - from briefing to wrap.
- Build and maintain timelines, trackers and contact sheets; keep all stakeholders aligned and up and equipment.
- Assist with creative development by researching references, moodboards, materials and cultural inspiration.
- Attend shoots, events, walkthroughs and live activations to support on-the-ground delivery.
- Help prepare pitch decks, proposals, and presentation materials for new business and existing clients - ensuring everything is tight, clear and on-brand.
- Coordinate freelance collaborators, ensuring they have the info, timelines and assets they need.
Studio Operations Support
- Own and maintain our project management system - trackers, project folders and status boards - so it's the single source of truth for the team.
- Help refine internal systems that make the studio more efficient, more creative and more organised.
- Keep admin tight: file management, meeting notes, calendars, agendas, follow-ups.
WHAT YOU'LL BRING
- Graduate to 1 year's experience in a creative, experiential or production environment.
- Strong organisational instincts and genuine pride in the details.
- A proactive, self-starting attitude, with real initiative and a solutions-first approach.
- Comfortable juggling multiple projects, deadlines and stakeholders at speed.
- Clear communication skills - written, verbal and interpersonal - and comfortable representing Whipped Cream professionally across email, phone and in person.
- Confidence working with timelines, schedules and spreadsheets, plus a basic comfort with numbers - tracking spend and helping keep budgets on course.
- Familiarity with project management or shared-drive tools (e.g. Monday, SharePoint) - or a fast learner if not.
- Curiosity about brand and creative worlds and how they come together.
- A cool head under pressure and a collaborative, can-do energy.
