This role offers a competitive salary, 28 days holiday a year plus Bank Holidays and a fantastic pension scheme offering 6% in year one and 11% after this. This role is being offered on a 6-month Fixed Term Contract.

About The Role

To play a central role in the smooth running of our workplaces. In this varied position, you will be the heartbeat of our day-to-day office operations. You will provide vital support for our property management and health, safety and environmental (HSE) team. You enjoy being at the centre of office life and love to collaborate. Key Responsibilities Include:

  • Office Operations and Facilities Support: Serve as the first point of contact for the Workplace Experience team, manage office supplies and stock levels, log/track maintenance issues, and support internal office initiatives (e.g., moves, refurbishments).
  • HSE and Compliance Management: Support the HSE Adviser, coordinate staff health and safety training (including DSE assessments), and maintain accurate training records, compliance logs, and controlled documents for policies and risk assessments.
  • Administrative and Communications Support: Manage the departmental inbox, provide general administrative support to the wider team, assist with new staff onboarding arrangements, and maintain the internal intranet (Hub) pages.
  • Finance and Records Administration: Maintain various tracker spreadsheets for requests and compliance, produce basic reports for management.
  • General Support and Project Participation: Provide cover for the Front of House team when necessary, participate in relevant projects (which may include creating databases or presentations), and operate with flexibility to support the needs of the office.

About You

  • Organisational and Administrative Expertise: Proven experience in an administrative or team support role, demonstrating exceptional attention to detail, accuracy, and strong multi-tasking and prioritisation abilities in a fast-paced environment.
  • Customer Focus and Communication: Pride in providing a high standard of service to colleagues and visitors, coupled with a professional, approachable manner and the ability to communicate clearly across the business.
  • Technical Proficiency: Relevant experience using MS Office/Google programs and being comfortable and proficient with software packages, with a keenness to use AI in your work.
  • Proactive and Reliable: The ability to be solutions-focused, calm under pressure, proactive in spotting what needs doing, and a strong team player with a flexible approach.
  • Desirable Expertise: Experience in a commercial office or multi-tenant environment, prior support for HSE or facilities teams, experience in raising purchase orders, and knowledge of DSE processes, training coordination, or document control.

  • First stage video call – 30 mins.
  • Second stage in-person interview London office with role-based task.
