About the Role
The role of the Executive Assistant/ Business Operations Lead is to provide executive support to the Company’s General Counsel and International President, both based in London, and their respective teams whilst optimizing business operations in a variety of functional areas. In this role you will act as a trusted liaison and maximize Leadership's efficiency by managing their time, communication and logistical needs with high levels of discretion and foresight.
Responsibilities:
- Executive Support:
- Serve as a point of contact between Leadership and internal/external stakeholders
- Organize and manage complex calendars and conflicting priorities across multiple time zones
- Assist with travel arrangements and monthly expense reporting
- Coordinate meeting preparation and compile and distribute thorough meeting notes with clear action items and owners
- Prepare and distribute reports and presentations and provide administrative support for all meetings
- Create and maintain organizational charts across functions including new joiners, leavers and functional reorganizations
- Support new joiners and onboarding/offboarding process
- Communicate with internal and external contacts to ensure that all tasks are being executed in a timely manner and to Leadership's standards
- Obtain signatures on legal documentation, and assist with posting of legal documentation
- Assist with company board meetings as needed, including scheduling and collating of board materials
- Schedule and drive the listening circles and support and drive engagement survey outcomes and action plans
- Compose and lead team communications for Leadership, manage communication channels, plan regional and functional connection moments, and coordinate All Hands preparation including agenda, deck, and recognition
- Plan senior leadership or cross functional visits to the market
- Assist in managing Leadership T&E budget
- Business Operations:
- Collaborate with functional leaders and cross-functional teams on ad hoc projects including change management initiatives
- Oversee company-level reporting, qualitative and quantitative mechanisms to facilitate actionable processes and solutions
- Lead execution of high priority strategic initiatives and projects for Leadership and the business
- Engage with teams to provide specific operational projects for GM portfolio and program-level leadership support when needed
- Manage cross-functional projects or initiatives; bring together important stakeholders and help drive decisions
- Develop and manage substantive training opportunities for the wider teams
About You:
- Work tactically, quickly and efficiently to support senior leadership whilst being adaptable to fast changing needs and priorities
- A proven problem solver and able to make creative, forward-looking decisions
- Demonstrate strong attention to detail and accuracy and ability to exercise discretion
- Excellent Microsoft Excel and PowerPoint skills (as well as Google Sheets and Google Slides)
- Excellent project management skills
- Excellent communication skills (written and verbal) and ability to manage complex projects with many cross-functional stakeholders
- Ability to work with executives and senior stakeholders
