Gateshead office location. Permanent position. This is a first-class Administrative position in which you will operate within a small office team of 4, the headcount in the full business is 11. With a fantastic culture and environment, my client is looking to recruit an office administrator to join their very friendly team.

WHAT IS IN IT FOR YOU?

  • Annual base Salary – Β£32,000 to Β£35,000 DOE
  • Monday to Friday working hours, 37.5-hour weeks.
  • Option to work either 8-4.30 or 9-5.30, my client is very flexible.
  • Office Location – Gateshead
  • This role is fully office based.
  • Small close-knit team, not a large headcount
  • 33 days holiday leave, including bank holidays + birthday and xmas eve off!

THE BUSINESS

Our client is a fantastic manufacturing business based in Gateshead. The purpose of this role is to provide accurate, responsive administrative support across the UK site, helping sales, logistics, production, finance, quality and maintenance activities run efficiently. The role acts as a central link between the office, factory, customers, suppliers and contractors.

THE ROLE

  • Sales and Logistics
    • Process and maintain sales, customer, supplier, import and export documentation.
    • Respond to routine customer and supplier enquiries and direct issues to the appropriate colleague.
    • Keep ERP and supporting records accurate, complete and up to date.
  • Production and Operations
    • Prepare and maintain production paperwork, trackers and operational records.
    • Coordinate information and actions between the office and factory, communicating confidently with operators, supervisors and management.
    • Monitor outstanding production issues, escalate concerns and support continuous improvement in efficiency, right-first-time performance and process control.
  • Finance and Office Administration
    • Manage filing, document control, data entry, correspondence and other day-to-day office administration.
    • Support invoice, purchasing and other routine finance administration, including data gathering and reporting.
    • Track agreed actions, support communication between departments and provide administrative cover during absence or peak workloads.
  • Quality and Maintenance
    • Maintain preventative maintenance schedules, service records and action trackers.
    • Coordinate maintenance contractors and service visits, following up actions and documentation.
    • Maintain controlled quality documents, including procedures, work instructions, forms and records.
    • Provide administrative support for internal and external audits and customer quality requirements.

THE PERSON

  • Previous experience in a varied administrative role, ideally within manufacturing or a similarly fast-paced environment.
  • Strong organisational skills, attention to detail and the ability to manage competing priorities and deadlines.
  • Clear, professional communication with colleagues, customers, suppliers and contractors.
  • Confident IT user with good Microsoft Excel skills and experience maintaining accurate electronic records.
  • Proactive, flexible and team-focused approach, with confidence working in both office and factory environments.
  • Experience using an ERP system.
  • Experience supporting import and export administration.
