About the role:

As a Site Coordinator you will play a key role in supporting the smooth operation of a construction site by managing administrative tasks, maintaining accurate records, and facilitating communication between site staff and contractors. You will handle documentation such as timesheets, attendance logs, and procurement records. Acting as the central point of contact for administrative needs, the Site Coordinator helps keep the site organized, efficient, and compliant throughout the project lifecycle. You will report to the Senior Technology Leader and be located at Westlakes.

Key Responsibilities:

  • Responsible for assisting the Office Manager with Subcontractor SQEP in line with upcoming and ongoing Construction Delivery Works.
  • Receiving TDA Daily Allocation sheets from both TDA Delivery and Subcontractors; receiving TDA Site Status Reports from all TDA Works Controllers and cross-checking the information on both, dealing with any anomalies/queries and approving and issuing back to the customer within the given deadlines.
  • Responsible for the filing of the Signed Site Statuses and Daily Allocation Sheets and ensuring they are readily available for the client if they require them.
  • Collating information and entering the Non-Productive Time Tracker (NPT) for issue to the TDA Construction Management Team.
  • Coordinating the Stationery and replenishing as required, including checking the fax, photocopier, printer paper supplies.
  • Assisting the Office Manager with Building Controller and Fire Safety duties as and when required.

Qualifications:

  • Administrative procedures – filing, documentation control, office management.
  • Construction industry basics – understanding terminology, project phases, and common site operations.
  • Document control systems – knowledge of systems like Aconex, Procore, or internal company platforms.
  • Health & Safety protocols – basic understanding of site safety practices and visitor protocols.
  • Procurement & logistics – handling purchase orders, deliveries, and inventory tracking.
  • IT & office software – MS Office, databases, and communication platforms.

Skills:

  • Managing schedules, files, and multiple admin duties at once.
  • Interacting with staff, contractors, and visitors.
  • Keeping up with fast-paced site activities.
  • Data entry & accuracy – maintaining logs, timesheets, and other critical records with precision.
  • Handling day-to-day issues like delivery errors, staff queries, or scheduling changes.
  • Customer service – welcoming site visitors, handling phone/email inquiries professionally.

  • P4 Pass Holder
  • SC (Security Check)
