As Emergency Planning Administrator you will provide an administrative function to the Emergency Planning and Governance Department and Ex-Infrastructure Areas. The role will primarily be office based but some opportunities for home working will be available. You will report to the Head of Engineering Governance.
Responsibilities
- Follow company safety rules and procedures in a pro-active manner to maintain safety.
- Payment of invoices, contract maintenance, etc. to ensure supplies are sourced effectively and efficiently whilst maintaining budgets and continuing the relationships we have with our suppliers.
- Review existing contracts with our suppliers to check expiration dates and obtain new quotes for consideration.
- Use various computer/web-based systems (e.g. Maximo) to ensure our assets are maintained, keeping our department within the site requirements (SSIs).
- Maintain Prime document database ensuring all Operating Instructions are valid, current and relevant.
- Provide document author duties for the sections Operating Instructions and SSI's whilst linking with the section Intelligent Customers.
- Part of the Emergency Response Team, responding to various site exercises and incidents which can also include some attendance outside normal working hours.
- Assist the Emergency Planning Manager in the preparation of observed exercises, distributing information to our customers/neighbours, being a point of contact for Local Agencies (Resilience Direct).
- Maintain the Motor Insurance Database and tracking of all Company lease vehicles and being a point of contact for any motor vehicle insurance claims.
- Annual Insurance submissions to our Insurance Brokers, collating required information to ensure the Insurance Policies for site provide the correct level of cover.
- Maintain and update the Rapid Reach data (web based) Emergency Call Out system.
- Maintain and update the Resilience Direct system data (Government level web based system).
Qualifications
- GCSEs or equivalent in English and Mathematics as a minimum.
- Effective verbal and written communication skills, enabling interaction with customers at all organisational levels.
- Knowledge of SAP, Prime, Maximo and Ariba would be beneficial.
