West Hertfordshire Teaching Hospitals NHS Trust’s Redevelopment Team is seeking a skilled and experienced administrator to support the delivery of new and enhanced healthcare facilities. This role will contribute directly to the success of the Redevelopment Programme across all three hospital sites, focussing on Watford and Hemel Hempstead, but with occasional requirements to work in St Albans. The specific requirement for each site varies dependent on priorities as the plans progress.

We are looking for a proactive, motivated, and well‑organised professional to play a key role in supporting the planning and execution of a wide range of capital projects at Watford General Hospital, Hemel Hempstead, and St Albans City hospitals. The postholder will be expected to work full-time (37.5 hours per week), Monday to Friday. However, flexible or part‑time arrangements may be considered on request. The postholder will be required to travel between the three hospital sites as and when needed.

Main duties of the job

The successful candidate will be a proactive and organised individual who has experience in providing administrative support, with confidence and proven expertise managing multiple deadlines. They must be an effective communicator, confident with supporting senior managers and the executive team, capable of organising meetings, taking notes/minutes of meetings and preparing meeting papers (including agendas and action logs). The post holder must have excellent IT skills, including the ability to proficiently use the Microsoft office suite, including Outlook, Word, Excel and PowerPoint. It would be an added benefit to the applicant if they have had experience working within a Project or Programme Management Office, and/or knowledge of project and programme administrative procedures and systems.

Specific responsibilities for the Redevelopment Administrator include, but are not limited to:
  • Providing full and comprehensive administrative support to the West Herts Redevelopment Team.
  • Supporting the Programme Management Office (PMO) by setting up Team/Board meetings and supporting the collation and circulation of project documentation (including Risk Registers, Action Logs, Query Logs and regular Highlight Reports).
  • Receiving and processing sensitive information appropriately and effectively communicating complicated information from other departments and external contractors to the team.
  • Taking the lead on ensuring the smooth functioning of office facilities at WFC, acting as point of contact for all WHTH and external teams based at WFC, liaising with WFC office management team as required.
  • Support the wider Redevelopment Team with any other tasks related to current projects, as required.

Education and qualifications

  • Good overall standard of general education including literacy and numeracy.
  • Secretarial and administration skills to NVQ3 /RSA3/CLAIT Level 2 standards.
  • IT Skills to ECDL level.
  • Evidence of continuing professional and personal development.
  • Database systems and management.
  • Willingness to undertake further training on any work‑related computer packages as required.

Knowledge

  • Must demonstrate advanced ICT skills and knowledge including PowerPoint, Word, Excel, SharePoint, and other systems as required, as well as touch typing.
  • Good communication skills with all levels of staff/stakeholders.
  • Experienced in office procedures.
  • Experienced minute taker.
  • Demonstrable understanding of the UK healthcare system.
  • Understanding of NHS confidentiality and data protection requirements.

  • DATIX user competency.
  • Understanding Policy and procedural documentation.

Experience

  • Relevant secretarial and administrative experience.

  • Used to working in a reactive and pressured environment.
  • Experience of working in the NHS in a projects environment.
  • Experience/knowledge of project management methodology.

  • Experience with procurement processes such as raising purchase orders and managing invoices.
