Medical Billing Administrative Specialist
We are looking for a highly organized and adaptable Administrative Specialist to support our Medical Billing Department. This role is ideal for someone who enjoys working behind the scenes to ensure administrative functions are fulfilled. This is a great starter role for the right person to get on the ground floor in a Medical Billing department. You’ll be the go-to person for administrative support, helping the billing team stay focused on revenue cycle management and compliance.
Key Responsibilities
- Assist with data entry and maintenance of patient billing records and insurance information.
- Communicate effectively with patients regarding billing questions, insurance coverage, and account balances, demonstrating empathy, clarity, and professionalism.
- Support the billing team with documentation requests from multiple sources.
- Prepare billing documents for cash posting and follow-up correspondence.
- Perform general office duties such as scanning, faxing, filing, and organizing digital records.
- Help ensure HIPAA compliance in all administrative processes.
Qualifications
- 1–2 years of experience in a healthcare or medical office setting preferred.
- Familiarity with medical billing terminology and insurance processes is a plus.
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office, EHR systems, and billing software (NextGen).
- Excellent communication and interpersonal skills.
- Ability to handle confidential information with discretion.
- Must be able to commute for in-office work; this position is not remote.
