West Yorkshire Police is looking to appoint a full time Senior Leadership Team Secretary based at Leeds. The successful candidate is to provide a comprehensive confidential secretarial support function to Senior Leadership Team members within Districts/Directorates/Departments, supporting them across all their responsibilities to maintain an effective and coordinated approach to daily business. In conjunction with the Senior Leadership Team and Line Manager, work to provide support across the organisation in times of absence or high workloads.
Key Duties
- Support the District/Department Head and SLT to effectively deliver Policing Strategy priorities, including diary management and correspondence preparation.
- Manage and coordinate diaries, scheduling meetings and commitments (short and long term) to enable attendance at internal, external and national engagements.
- Provide comprehensive secretarial support, aligning diary, correspondence and administrative tasks with senior leader priorities.
- Handle enquiries (phone, email, mail, visitors), arrange hospitality and ensure all interactions and correspondence are managed appropriately.
- Facilitate engagement with internal and external stakeholders by coordinating communications, meetings and related admin activity.
- Support rewards and recognition processes, including coordinating submissions, preparing documentation, supporting panels, and organising events and presentations.
- Manage inboxes, correspondence and office administration, ensuring items are prioritised, logged and escalated appropriately with secure handling of confidential information.
- Compile and maintain reports and management information, update intranet content and distribute communications on behalf of senior leaders.
- Prepare and format professional correspondence, including sensitive material, ensuring accuracy, consistency and compliance with policies.
- Arrange travel, itineraries and accommodation for the District/Department Head and SLT.
- Support procurement by raising requisitions, applying budget codes and ensuring compliance with financial procedures and governance standards.
- Provide cross‑team secretarial support as needed, sharing knowledge to maintain consistency and resilience across the function.
What You Will Need
- Basic knowledge of office systems, procedures and administration function.
- Proficient typing skills, with the ability to accurately record and transcribe notes/minutes of meetings if required.
- Ability to work as part of a team.
- Strong organisational and interpersonal skills and the ability to communicate with Senior Leaders and make decisions using own initiative.
- Knowledge of and the ability to operate computer systems such as Microsoft Office, including Word and Excel.
- Ability to complete training in the use of relevant Force computer systems.
- Basic understanding of General Data Protection Regulations (GDPR).
- Basic knowledge of duties management and finance systems.
