West Walk Surgery have an exciting opportunity for an Administrator to join our friendly team working 16-20 hours a week. The ideal hours we're looking to cover are: Mondays 1100-1600, Tuesdays 1100-1600, Thursdays 0900-1400, Fridays 0900-1400. We can be flexible with days and hours but must be over at least three days and include a Monday or a Friday. Candidates should please outline your proposed working hours in your application.

To apply you must be able to work to deadlines, have strong organisation skills and show attention to detail in your work. As an Administrator at West Walk Surgery you will work alongside four other Administrators helping to ensure the smooth running of the practice.

Main duties of the job

  • Your main role will be to read, scan, code and action all documentation coming into the practice in relation to patients and in line with our set protocol for document management.
  • You will be responsible for undertaking a wide range of administrative duties and the provision of administrative support to West Walk Surgery patients and staff.

Job responsibilities

  • Process incoming and outgoing mail.
  • Read, scan, code and action all documentation coming into the practice in relation to patients in line with the set protocol for document management.
  • Arrange further appointments or tests as required that are specified from either the documentation or requested by the clinician.
  • Report any significant events that occur in relation to document management and participate in any associated learning from incidents.
  • File and store records as required.
  • Photocopy documentation as required.
  • Searches/claims/recalls for QOF.
  • Process changes to patient registration, deduction of record and new patient registration.
  • Input data into the patients healthcare records as necessary.
  • Answer incoming phone calls, transferring calls or dealing with the callers requests appropriately.
  • Support all clinical staff with general administrative tasks as requested.
  • Help us work towards an outstanding rating with CQC.

Qualifications

  • Educated to GCSE level.

Experience

  • Numerate and IT literate.
  • Experience in customer service.
  • Excellent communication skills (verbal and written).
  • Experience in dealing with members of the public.
  • Organisational skills.
  • Ability to work as part of an integrated multi-skilled team.
  • Ability to work under pressure and in a changing environment.
  • Working with confidential, sensitive information with an understanding, acceptance, and adherence to the need for strict confidentiality.
  • Flexible and adaptable to cope with the breadth and pace of changes.
  • Experience of EMIS Web.
  • Experience of working in primary care.
