Ongar Health Centre is excited to welcome a Medical Secretary to the team on a part‑time basis for 25 hours per week working Monday, Wednesday, Thursday, Friday 10:00 am – 4:30 pm with a 15 minute break each day.
Responsibilities
- Working methodically and accurately with the ability to self‑motivate, organise and prioritise own workload.
- Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently.
- Liaising with patients about their referral.
- Maintaining an accurate referrals database.
- Actioning all incoming email relating to referrals.
- Inputting data into the patient’s healthcare records as necessary.
- Processing referrals using the electronic referral system (ERS).
- Answering incoming phone calls, transferring calls or dealing with the caller’s request appropriately.
- Managing all administrative queries as necessary, sending expedite letters to hospitals.
- Supporting all clinical staff with general administrative tasks as requested.
- Generating referrals on behalf of a clinician and sending patient relevant paperwork with their appointment or UBRN number to be able to book their own appointment.
- Sending off Dexa referrals on behalf of a clinician.
- Dealing with ASD/ADHD paperwork, ensuring forms are completed for a GP to then be able to check and sign off.
- Monitoring worklists and sending responses to clinicians and hospitals.
- Franking of outgoing post.
About the Candidate
The successful candidate must be able to undertake a range of administrative duties to support the multidisciplinary team, be able to work as part of a team, have the ability to organise and prioritise their own workload on a day to day basis. Experience of a clinical system is preferred but not essential.

We are a large, busy training practice, serving a patient population of 12,700 and operating from purpose built premises. We use SystmOne clinical system and are rated Good with CQC.
