Project Support Officer in Birmingham

Birmingham Full-Time On-site
West Midlands Combined Authority (WMCA)

Help keep projects on track that make a difference across the West Midlands.

If you're an organised and proactive administrator who enjoys coordinating people, maintaining accurate records and ensuring nothing slips through the cracks, this could be the perfect next step for you.

As a Project Support Officer, you'll provide the administration, governance and coordination support that helps our projects and programmes run effectively. Working across Transport for West Midlands and with external partners, including Local Authorities and funding bodies, you'll be at the centre of project activity, keeping information up to date, coordinating stakeholders and ensuring key actions are progressed.

This role is ideal for someone who enjoys organisation, planning and stakeholder coordination and who takes pride in producing high-quality administration and governance support.

Important: Is this role right for me?

This role is not a Project Manager or Project Officer position.

You will not be responsible for leading projects, managing project budgets, owning project delivery plans or being accountable for project outcomes. Instead, you'll provide the administration, coordination, governance and reporting support that enables projects and programmes to succeed.

We're looking for someone who enjoys:

  • Keeping records accurate and up to date
  • Managing project documentation
  • Coordinating meetings, workshops and stakeholders
  • Tracking actions and deadlines

  • Working with spreadsheets, data and digital systems to keep project information accurate, organised and up to date.
  • Producing minutes, briefing papers and governance documentation
  • Building strong relationships with a wide range of partners

If you enjoy organising activity and supporting delivery rather than leading projects yourself, we'd love to hear from you.

What you'll be doing

  • Providing end-to-end project administration and coordination support across a range of programmes and initiatives
  • Maintaining project documentation including action logs, risk registers, project records and governance documentation
  • Coordinating meetings, workshops and events involving internal teams, Local Authorities and external stakeholders
  • Producing agendas, minutes and action trackers and ensuring actions are followed up
  • Supporting the production of reports, briefing papers, committee papers and stakeholder updates
  • Maintaining and quality-checking project trackers, spreasheets and performance information, including RAG reporting, to ensure data is accurate and up to date
  • Managing SharePoint sites, Teams folders and project records to ensure information is accessible and up to date
  • Raising purchase orders and supporting financial administration processes
  • Supporting continuous improvement across project and programme management activities

What a typical week might look like

  • Chasing project updates from stakeholders for a monthly programme report
  • Updating project trackers, risk registers and action logs
  • Coordinating a workshop involving representatives from several Local Authorities
  • Producing meeting minutes and tracking follow-up actions
  • Preparing papers for governance meetings and programme boards
  • Monitoring milestones and highlighting potential delays to project leads
  • Maintaining performance information and RAG status reports

What we're looking for and what's essential

We need someone who is experienced in providing administration, coordination or support within a project, programme, PMO or operational delivery environment. You’ll know how to maintain project documentation, trackers, action logs, meeting records or performance reports, and be experienced in coordinating multiple meetings, stakeholders, deadlines and competing priorities. You will also be confident in using IT systems and spreadsheets, particularly within Microsoft 365 tools, to organise information, maintain accurate data and support reporting. It's essential you possess the following:

  • Business Administration L3
  • Ability to co-ordinate complex schedules
  • Ability to communicate and support/influence across all levels and roles
  • Strong interpersonal and verbal/written communication skills
  • Excellent IT skills, including Word, Excel, PowerPoint and Outlook
