We currently have a vacancy for a full‑time Band 5 Admin Team Leader/Clinical Team Secretary within the Women’s Service, West London Forensic Service based on the St Bernards Hospital site. We are seeking a confident, organised, proactive and approachable person for this challenging role who is committed to working collaboratively within the team for individuals and providers to ensure positive and safe ways of working for staff and service users. The successful applicant will be part of an established team that will help to improve the lives of forensic mental health service users.

The successful candidate will have managerial responsibility for a number of Band 4 staff as well as providing comprehensive administrative and secretarial service within WLFS. They will be involved with supporting the provision of a high standard of physical environment on wards and non‑clinical spaces within the service, along with maintaining a high standard of support to all managers, consultant staff, wards and departments. Some managerial/supervisory experience is essential; however, additional training opportunities will be offered in order to support professional and personal development. The post holder would be based in K Block, Orchard Administration Department in the grounds of St Bernard’s Hospital.

Key Responsibilities
  • Support the Head of Administration and the Deputy Head of Administration to ensure that a comprehensive day‑to‑day support service is provided across the West London Forensic Service.
  • Directly manage a group of Band 4 secretarial staff and provide monthly supervision for each member of staff.
  • Carry out yearly appraisals on all direct reports as part of the PDR process.
  • Address training and personal development to gain access through the gateways.
  • Ensure all direct reports have completed their annual programme of mandatory training courses.
  • Deal with performance and management issues in line with the Trust’s Disciplinary Procedures.
  • Monitor sickness and absence as part of the Bradford Score and take appropriate action in line with the Sickness and Absence Policy.
  • Coordinate with the Deputy Head of Admin regarding the approval of annual or other leave to ensure minimum numbers are maintained across the service.
  • Work with the Team Leaders and administrative staff to develop best practice and universal processes across all teams.
  • Implement changes to working practices following approval from the management team and working with the administration team to introduce and develop better practice.
