West Farm Surgery is seeking a friendly, organised, and reliable Medical Receptionist to join our team. This is a patient-facing role at the heart of our practice, requiring excellent communication skills and a professional, compassionate approach at all times.

Main duties of the job:

  • Greeting patients and visitors in a courteous and professional manner
  • Managing incoming calls and appointment bookings
  • Handling patient queries efficiently and sensitively
  • Maintaining accurate patient records using SystmOne
  • Supporting the smooth day-to-day running of the reception area
  • Liaising with clinical and administrative staff

West Farm Surgery is a small, friendly practice situated on the Longbenton estate, providing healthcare services to approximately 6,000 patients. We are conveniently located close to a metro station and major bus routes, making us easily accessible. Job responsibilities:

To provide a high quality reception service to all users in a professional, courteous and efficient way. Be the first point of contact for the practice projecting a positive, friendly image to all service users either in person or over the telephone and direct them to the most appropriate service for their needs.

Responsibilities:

  • Greet and direct patients and visitors
  • Make appointments both in person and over the telephone
  • Deal with requests for home visits according to the practice protocol
  • Deal with general enquiries from patients and external agencies
  • General assistance to practice team and respond to the needs of the doctors/nurses during surgery
  • Process daily tasks received from patients and team members
  • Give out test results following GP instructions

Administration:

  • Registration of patients
  • Return medical records for patients who are deceased/leaving the practice
  • Processing patient change of address
  • When required process incoming mail
  • Scanning of hospital letters
  • Prepare outgoing mail
  • Input and extract data from the practice computer system

Prescriptions:

  • Process repeat prescriptions in accordance with the practice policy
  • Hand out repeat prescriptions ensuring patient identity is verified
  • Deal with prescriptions queries from patients and pharmacies

General:

  • Keep the waiting area and reception tidy at all times
  • Make refreshments for doctors, other team members or visitors to the practice as requested
  • Ensure consulting rooms are well stocked
  • Any other reasonable duties assigned by manager

Patients trust us with and allow us to gather sensitive information in relation to their health care needs. They have a right to expect that staff will respect their privacy and act accordingly. In line with their daily duties the employee may have information relating to patients and their carer, practice staff and other healthcare workers. All such information is strictly confidential. Information relating to patients, carers, colleagues, healthcare workers or any business matters may only be shared with authorised persons and in accordance with the practice policies and procedures in relation to confidentiality.

Health and Safety:

The employee will observe health and safety guidelines at all times and report any potential risks identified.

Experience:

  • Experience using SystmOne is essential
  • Previous reception or healthcare experience is desirable

Disclosure and Barring Service Check:

This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.
