The Job Role
The role offers a broad understanding of business operations across Westcoast, including customer service, warehouse operations and finance processes, with opportunities to progress into senior roles or other areas of the organisation.
You will start with a supported workload and take on more as your confidence grows. No previous experience of customer service, post sales or administration is needed. Full training is provided in the workplace and through your Level 3 Business Administrator apprenticeship, and you will have a named mentor throughout.
Your Day-to-Day Responsibilities Will Include:
As a Post Despatch Administrator Apprentice you will provide administrative support that keeps daily business operations running smoothly. Responding to queries, maintaining accurate records and helping management with reporting. You will support processes across the Post Despatch Department, helping to coordinate activities, update systems and process documentation and Proofs of Delivery, so that service levels are maintained.
Some of your responsibilities will include:
- Supporting and managing unassigned logs, making sure all queries are progressed efficiently
- Obtaining Proofs of Delivery (PODs) for bulk audit requests
- Supporting management with reporting requirements and administrative tasks
- Providing support with web case management and case closures
- Investigating failed deliveries, liaising with the relevant parties and arranging updated delivery instructions where required
- Obtaining manufacturer authorisations to support customer and internal requests
As you grow in confidence you will develop the skills to:
- Manage your own caseload of queries through to resolution
- Review how queries are handled and propose improvements to the process
- Complete scoping, planning and reporting on a defined workplace improvement project, with a manager as sponsor
- Produce regular management reports rather than only supporting them
- Support or buddy with a new starter

- Clear communication skills, internally and externally at all levels
- Good organisation, and the ability to manage your time and prioritise a busy workload
- A willingness to work within tight guidelines and to strict SLAs
- An interest in the IT distribution industry (no prior knowledge or experience required)
