Role Summary

The technical records controller is a key position within West Atlantic UK, serving the primary purpose of ensuring technical data relating to aircraft flight utilisation and maintenance records are received and processed in accordance with company procedures and regulatory requirements. This position will suit a proactive and target driven individual with high levels of attention to detail. With aviation record keeping becoming more dependent on electronic documentation, this position will require substantial input into digitalising paper records accurately, inputting data and ensuring the accuracy of the data held within our electronic records system. This position will suit an experienced administrator with the ability to follow processes and time targets. There is potential to progress to a Technical Records and Maintenance Planning role as the company moves towards a fully digital records system.

Responsibilities

  • Daily entry of aircraft flight records into the electronic records system.
  • Ensuring continuation of accurate aircraft times within the aircraft technical log and electronic records.
  • Compliance auditing and post completion of completed aircraft technical log pages and work orders.
  • Ensure the airframe hours and cycles recorded on the Technical Log match those recorded in eMRO. Where discrepancies are noted, issue an amendment form for correction before next flight.
  • Liaison with P145 suppliers to ensure completed maintenance records are returned within the contracted timescales.
  • Liaison with maintenance planning to report any discrepancies within the aircraft log books that could affect scheduled maintenance requirements.
  • Control of department email address, ensuring all queries are answered within a reasonable timescale, or directed to the responsible person within a reasonable timescale.
  • Control the flow of digital and hard copy records into the department, ensuring a robust and regulated system of records control is managed.
  • Receipt of physical paperwork from both internal and external parties, ensuring all paperwork is present and catalogued ahead of periodic archiving.
  • Scanning of physical paperwork, ensuring no records go to storage without a digital record being available.
  • Ensure all digital records are an accurate copy of the paper record.
  • Compilation and submission of monthly utilisation reports for lessors and airline stakeholders.
  • Support of the CAMO Subcontractor with records management and respond to their queries.
  • Perform additional tasks as directed by the Technical Records and Planning Manager.

Academic/Educational Requirements

Educated to A Level or equivalent.

Required Skills/Experience/Knowledge:

  • Demonstrable experience in managing their own workflow and ability to complete requirements within set timescales.
  • Team player with ability to work using own initiative when necessary.
  • Demonstrable confident and clear communication skills, both written and verbal.
  • Proficient in the use of all Microsoft Office applications.
  • High level of accuracy, especially when handling safety-critical or regulated information.
  • Ability to identify discrepancies, missing data, or incorrect revisions.
  • Strong checking and verification habits.
  • Demonstrable skills on the use of M&E software systems Trax Emro.
  • Experience managing controlled records such as drawings, manuals, work instructions, certificates, and compliance evidence.
  • Previous experience processing technical data within Pt145 or CAMO environment.
  • Working with and/or on behalf of third-party customer aircraft.
  • Experience of working with aircraft types within the West Atlantic UK fleet.

40 hours per week excluding 30 min lunch break
