The Hospitality Sales Coordinator plays a key support role within the Hospitality Sales Team, managing the processing and fulfilment of hospitality packages from sale through to event day, including invoicing and ensuring all paperwork is complete. The role coordinates all catering and hospitality requirements for clients attending WRU international home games and third-party events such as concerts, working closely with internal teams and suppliers to ensure a high-quality guest experience. In addition to event‐day support, the coordinator provides occasional sales assistance and has a sales target to drive additional revenue through the promotion of enhancements, including premium food and beverage upgrades and other add-on experiences.

The position offers a competitive annual salary plus performance‐based bonus. Interviews will take place week commencing 6th April 2026.

The Person

  • Previous experience in hospitality sales, event management, or customer service within a large‐scale venue or stadium environment would be beneficial.
  • Previous experience in administration, telephone handling, invoicing.
  • Strong customer service skills and ability to manage client relationships.
  • Ability to support sales initiatives and upselling opportunities in a fast-paced, customer-focused environment.
  • Strong communication skills, both verbal and written.
  • Excellent IT skills, specifically Microsoft package.
  • Ability to manage multiple tasks and meet deadlines.
  • Ability to work independently and as part of a team.
  • Ability to communicate and work through the medium of Welsh is desirable.

The Role

  • Fulfilment of incoming sales and hospitality enquiry calls, supporting the Hospitality Sales team.
  • Outbound direct sales target to support the Hospitality Sales team in hitting revenue targets.
  • Fulfilment of invoicing and financial provisions around packages that have been sold by the team.
  • Working with external suppliers and catering partners on theming, look and feel.
  • Overseeing external supplier coordination for all audio‐visual requirements.
  • Increase the additional spend of wines and additional food items in advance of event day and on event days, in accordance with the target set by the Hospitality Sales team.
  • Event day lead with regards to catering requirements across the stadium for main bowl events.
  • Supporting Hospitality Sales team to deliver an excellent standard of hospitality to long-term and event-by-event clients.
  • Respond to and manage feedback from hospitality clients.
  • Lead on the distribution of hospitality room passes via the PSE VIP Tickets App.
  • Be the key point of contact in certain hospitality spaces on event day, ensuring client expectations and requirements are met.

Budgets

  • Contributing to budget setting for the Hospitality Sales team and closely monitor activity, reporting back to the Client Manager.
  • Responsible for managing costs within package fulfilment.

WRU Requirements

  • The WRU require that individuals are proficient in IT skills, specifically Microsoft packages.
  • Excellent written and verbal communications are essential, along with the ability to build strong relationships with internal and external stakeholders.
  • Ability to communicate through the medium of Welsh and a Valid UK Driver's License is desirable.
  • This role is subject to a basic/enhanced DBS check.
