Business Support Officer - Finance and Administration

This is a key role in supporting the financial and operational administration of Welsh Gymnastics. The post-holder will ensure financial processes run smoothly, including processing transactions and maintaining accurate records, while also contributing to the organisation’s commercial activities, such as order fulfilment, merchandise sales, and income diversification.

The role works alongside the Business Support Manager to provide essential support for both finance and general operational administration, helping the organisation operate efficiently and sustainably.

Main Areas of Responsibility

Finance:

  • Maintain accurate financial records using QuickBooks/Xero and assist with reporting and reconciliation tasks.
  • Process and issue purchase orders, purchase invoices and sales invoices.
  • Maintain and monitor debtor and creditor records and assist with credit control activity.
  • Work closely with the Management Accountant and Business Support Manager to support financial planning, forecasting and reporting.
  • Contribute to the preparation of audit and funding documentation as required.
  • Act as a point of contact for all finance‑related queries from staff, suppliers and partners, providing initial support or signposting to the appropriate contact (e.g. Management Accountant or Business Support Manager).
  • Monitor the company charge & credit card usage – tracking usage, ensuring timely submission of receipts and verifying that purchases comply with internal financial procedures.

Administrative and Operational Support:

  • Provide administrative and logistics support for Board and Committee meetings, coordinating papers, scheduling, and minute‑taking under the direction of the Business Support Manager.
  • Coordinate key meetings and assist with diary management across the business support function.
  • Support the planning of meeting – booking rooms, meeting invites, transport, hotel arrangements.
  • Act as a point of contact for general office administration, to ensure smooth day‑to‑day operations.
  • Support the team with answering calls.
  • Support the management of stock control, pricing and distribution for Welsh Gymnastics merchandise and associated products.
  • Coordinate staffing plans for merchandise and photography point‑of‑sale events, including scheduling, briefing staff or volunteers and ensuring appropriate stock and sales materials are available onsite. There may be the requirement to work at competitions selling merchandise, on the weekend, from time to time.
  • Process online merchandise orders through the relevant sales platform, including managing order fulfilment, packaging, and dispatch, and ensuring timely and accurate posting to customers.

Person Specifications
  • Educated to A Level (or equivalent) standard or above.
  • Sound financial literacy and attention to detail.
  • Flexible approach to work.
  • Excellent IT skills.
  • Experience working on a cloud‑based accounting system (e.g. QuickBooks or Xero) desirable.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Good organisational skills, with the ability to manage multiple priorities and deadlines.
  • A proactive, solutions‑focused approach to continuous improvement.
  • A commitment to customer service and building positive working relationships.
  • Experience in sales or retail.
  • Welsh speaker.
The Package

Salary/Banding: £24,570‑£29,000 (depending on experience) plus other benefits, including pension and life assurance.

Type of Contract: Full time (37.5 hours), Permanent.

Location: Sport Wales National Centre, Sophia Gardens, Cardiff – some hybrid working can be considered.

Team: Business Support.

Reporting to: Business Support Manager.
