ABOUT THE ROLE
The Paralegal will be primarily involved in the senior housing and independent living assets for Welltower’s UK portfolio. This role will include management of transactions and operations for the portfolio, in addition to engaging with outside counsel, internal working groups, and all company departments. The ideal candidate will have a strong background in real estate law, with a focus on senior housing. As a Paralegal, you will play a crucial role in supporting the legal aspects of our UK portfolio, ensuring compliance with regulatory requirements, facilitating transactions, and providing general legal support.
KEY RESPONSIBILITIES
- Entity Management & Governance: Help maintain and update the group’s corporate entity database, ensuring compliance with Companies House and statutory requirements. Liaise with external corporate service providers and registrars on UK and overseas entity management. Support the preparation of board and shareholder resolutions, minutes, and related governance documentation. Assist in preparing materials for board meetings and maintaining corporate record archives.
- Contract Management & Approvals: Review and prepare first-draft templates of routine agreements (NDAs, engagement letters, simple service agreements, etc.). Manage the contract approval process, coordination with operators with respect to external document approval processes, ensuring adherence to internal review and signature protocols. Maintain the contract database and tracking system to monitor key deadlines, renewals, and obligations. Support the legal team in implementing process improvements to enhance efficiency and compliance.
- Document & Data Coordination: Organise, catalogue, and maintain legal files and document repositories (including use of legal technology platforms). Support due diligence and document collection for financing, acquisition, and divestment transactions. Assist in responding to internal data and document requests from finance, tax, compliance, and asset management teams. Ensure confidentiality, consistency, and integrity of all legal data and records.
- General Legal Support: Support the Associate Senior Counsel and wider legal team in managing external counsel engagement and billing. Conduct legal research and prepare summaries or briefing notes on specific topics as required. Help develop and maintain internal legal policies, templates, and training materials. Provide administrative and coordination support for cross-functional legal initiatives and special projects.

MINIMUM REQUIREMENTS
- Minimum 5 years of paralegal or legal assistant experience, preferably in a corporate or real estate environment.
- Strong understanding of UK corporate governance, company secretarial procedures, and contract administration.
- Proven experience maintaining corporate records and working with legal entity management systems.
- Excellent attention to detail, with strong organisational and time management skills.
- Ability to handle multiple priorities and meet deadlines in a dynamic, fast-paced setting.
- Confident communicator with the ability to liaise professionally across departments and with external parties.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint), document management systems, DocuSign and contract databases.
- This role suits someone comfortable working independently on routine matters while collaborating closely with legal counsel on more complex issues.
