How you make a difference:

The Mental Health Administrative Assistant provides essential clerical and administrative support to the Mental Health Department, ensuring efficient operations. This role is responsible for maintaining all mental health records according to policy and procedure, with a strict adherence to confidentiality requirements. The ideal candidate will be detail-oriented and capable of managing sensitive information with the utmost discretion.

Key Responsibilities:

  • Execute secretarial and clerical duties for staff as assigned by the Mental Health Coordinator/Director, prepare and distribute written reports, provide telephone coverage, ensure timely pick-up and distribution of mail, and notify the Mental Health Coordinator/Director of any work-related difficulties.
  • Work effectively with all mental health staff, facility staff, and the inmate population, adhere to facility security regulations and institutional rules, and maintain the confidentiality of inmate information per CCS, Facility policies, and relevant standards.
  • Maintain mental health departmental files orderly, monitor staff availability for timely notifications, maintain departmental lists to monitor service activities, and ensure the general maintenance of the mental health department.
  • Monitor inmates attending appointments in the mental health area, inform corrections officers of inappropriate behavior, and provide clerical services for the staff psychiatrist, including preparation of inmate passes and file management.
  • Manage office supply and testing materials inventory, formulate and distribute the emergency "on-call" schedule, update departmental bulletin boards, notify the maintenance department of needed repairs, and comply with employee standards of the facility, including maintaining a professional working environment and appearance.

Qualifications & Requirements:

Education: High School Diploma

Licenses/Certifications: Must maintain CPR certification, and any other certifications (such as First Aid) required by contract.
