We are looking for an Operations Manager - Wellcome Collection to join our busy office team to help manage the back of house business operations of Wellcome Collection.
The Operations Manager, Wellcome Collection, sits within the newly set up Strategic Delivery & Transformation team within the wider Strategy, Enterprises and Operations department. The role will lead a small team of Team Coordinators to support Wellcome Collection leadership and their teams to drive delivery of our strategic objectives through excellent governance, infrastructure, systems, processes and practices.
This role provides senior operational, administrative and coordination support to Wellcome Collection's Directorate, ensuring effective delivery of priorities and smooth day-to-day operations of Directorate activity. The role acts as the administrative and operational delivery lead for the Directorate, translating agreed priorities into workflows, coordinated activity and high-quality administrative support. Also responsible for administrative support across Wellcome Collection's Leadership Team and their teams, the role will lead and develop a team of coordinators/administrative staff, ensuring a high-performing, professional administrative service.
As an Operations Manager you will:
- Provide strategic executive support by coordinating the Directorate's priorities, managing complex diaries, and ensuring smooth day-to-day operations.
- Lead governance and meeting management, including organising meetings, preparing agendas and briefings, recording minutes, and tracking actions to completion.
- Coordinate travel, events, and stakeholder engagement, arranging domestic and international travel, Directorate events, and supporting external partnerships.
- Oversee operational and office management, ensuring effective facilities, workspace planning, technology, and administrative processes.
- Manage and develop the administrative team to deliver a similar role across the wider Wellcome Collection leadership team and governance structure, driving high-performance support, improving ways of working, and fostering collaboration and flexibility.
- Support financial and organisational administration, managing budgets, processing expenses and invoices, and contributing to organisational planning and delivery.

Minimum Criteria:
- Extensive experience in Executive Assistant, Operations, or Office Management roles, supporting senior leaders and leadership teams.
- Strong people and team management experience, with the ability to lead administrative teams and coordinate effective ways of working.
- Exceptional organisational and workflow management skills, including complex diary, calendar, meeting, and priority management.
- Excellent communication and advanced IT proficiency, with expertise in Microsoft Office, SharePoint, CRM, finance systems, and producing high-quality written and verbal communications and reporting.
Our Hybrid Way of Working
We understand that our colleagues have commitments and personal interests outside of work and we strive to build a flexible working environment, in which people can perform at their best. We are currently working 3 days per week (Tuesday, Wednesday and Thursday) from our Euston Road offices (as part of our hybrid Ways of Working) with the remaining 2 days working either remotely or in the office. With this in mind however, Wellcome Collection is a 7 day per week operation. Therefore, in your role, on occasion it may be necessary for you to attend.
