Wellcome Trust plans to spend ÂŁ16bn over the next ten years, funding new discoveries in life, health, and wellbeing, and taking on three global health challenges: mental health, infectious disease, and climate and health.
We are looking for a permanent Operations Manager to provide executive-level support to the Director of Wellcome Collection.
What will I be doing?
As well as providing EA and operational support to the Director of Wellcome Collection, the Operations Manager will work with other key members of the team to ensure that the coordination and logistics of Wellcome Collection activities run smoothly. The role holder will also carry out operational and coordination tasks related to Wellcome Collection’s governance processes. Therefore, the ability to build strong relationships, work in partnership, and communicate well within a team will be critical.
The Operations Manager will join some Wellcome Collection Leadership Team meetings and is expected to participate actively in discussions as well as taking minutes to provide a view of operational and delivery considerations.
We are looking for someone who can:
- Act as the first point of contact for requests for the Director’s time and input, answering appropriate questions on their behalf, prioritising effectively, and steering colleagues towards the most suitable solutions to their needs.
- Organise key meetings and appointments, ranging from critical and urgent discussions to departmental meetings and large external events. This includes assisting with the preparation of the agenda and associated materials for regular Leadership Team and governance meetings, as well as taking minutes and updating on project delivery dates where appropriate.
- Prepare documents for the Director including correspondence, reports, minutes, briefing notes, presentations, Board papers, and other materials.
- Work with relevant Wellcome Collection colleagues and internal Finance partners to ensure that expenditure is tracked and that the Director of Wellcome Collection has the necessary visibility and oversight of Wellcome Collection budget information when required.
- Liaise with key business partners from other operational functions such as People, Digital & Technology, and Facilities & Workplace, to ensure that relevant interactions run smoothly for the Director of Wellcome Collection and the Wellcome Collection Leadership Team.
- Actively encourage and contribute to a diverse and inclusive culture across Wellcome Collection, working across departments in line with Wellcome’s beliefs and values.

The Operations Manager is a critical role that supports the Director of Wellcome Collection to execute Wellcome Collection’s vision and strategic priorities. As well as providing Executive Assistant support, the Operations Manager will undertake specialist projects for the Director of Wellcome Collection and the Wellcome Collection Leadership Team as relevant.
We are looking for someone who:
- Is an experienced Executive Assistant who is highly IT literate and has operated at Executive Committee or Board level or as a Senior EA, Office/Operations, or Business Manager of a large department.
- Is able to develop a strong comprehension of the priorities of the Director of Wellcome Collection, the wider WC departments, and Wellcome as a whole, and can use this to take the initiative and make decisions.
- Is highly proactive and organised and works in an agile, flexible manner and delivers work through inclusive practices in line with Wellcome beliefs and values.
- Has experience of managing projects, budget and event management and producing presentations and communications at Executive level.
- Has excellent interpersonal and communication skills, is able to build strong relationships (internally and externally) at all levels, and has the ability to strategically manage the time of the Director of Wellcome Collection.
- Is able to work in partnership within teams with confidence and initiative whilst being highly empathic and appreciative of the priorities of Wellcome Collection as a whole.
- Is personable and friendly, has a pragmatic approach and is confident in working with people at all levels.
