We are looking for an Events Executive to join our team. Where in Wellcome will I be working? Wellcome Collection’s Commercial team is responsible for generating essential income which enables us to continue the development of our public outreach and exhibitions programmes. The Venue Hire team at Wellcome Collection looks after private hires from enquiry stage to contract confirmation, coordination stages and delivery. We look after conferences, meetings, dinners and drinks reception for both internal and external clients. We also handle all the financial events for our events: invoicing etc.

What will I be doing? Your primary focus will be operating in a client facing role working on events from the first stages of enquiry through to contracting and invoicing of the event and detailed coordination of all event logistics including but not limited to catering. As an Events Executive you will:

  • Communicate with internal teams, service partners and suppliers at weekly meetings.
  • Assist clients to run their events effectively.
  • Ensure accurate contracts and invoices are presented to clients and paid on time.
  • Work with external suppliers to ensure effective and safe delivery.
  • Ensure events are delivered on time, including ensuring correct room set ups are complete and accurate.
  • Undertake event duty shifts including early mornings and evenings and occasional weekend shifts.
  • Undertake work in accordance with Wellcome policies and principles.

Is this job for me? We are looking for an events professional with strong communication and event coordination skills. The ideal candidate will have experience in delivering commercial hire events of a high standard, dealing with internal and external operations teams and liaising with multiple clients simultaneously.

Minimum Criteria:

  • Strong operational experience delivering conferences and events within venue environments.
  • Skilled in event management systems, ideally with experience using Kinetics.
  • Experienced in coordinating hybrid events including live streaming/video conferencing.
  • Collaborative team player committed to supporting a diverse and inclusive culture across departments.
