About the department

Our new Ophthalmology Centre is a flagship development within the Welbeck network, purpose built to set a new benchmark for specialist day‐case eye care. It brings together state of the art technology, beautifully designed clinical spaces, and a calm, modern environment that supports exceptional care and exceptional teamwork. As part of the founding team, you will help shape the culture, embed best practice, and play a meaningful role in creating a centre that patients trust and colleagues are proud to be part of.

About the role

As a Patient Pathway Administrator, you will play a central role in delivering a seamless, reassuring, and efficient patient experience from first contact through to treatment and follow up. You will work as part of a high performing administrative team to coordinate all aspects of the patient journey from appointment scheduling and front of house support to payment processing and accurate record keeping. This is a varied position requiring excellent communication, attention to detail, and a warm, confident approach. You will be the first point of contact for patients, consultants, and external stakeholders, ensuring every interaction reflects Welbeck's commitment to calm, personal, patient centred care. You will also contribute to operational efficiency, support new team members, and play an active role in creating a modern, well run service.

Key Responsibilities

  • Deliver seamless front of house and reception support, ensuring all patients receive a warm and professional welcome.
  • Accurately schedule consultations, diagnostics, imaging, and day case procedures (phone and face to face).
  • Handle patient enquiries sensitively and efficiently, providing reassurance and relaying information promptly to the clinical team.
  • Act as a liaison between patients, consultants, and external stakeholders to ensure integrated, well‐coordinated care pathways.
  • Process payments, prepare invoices and quotes, and manage self‐pay and PMI queries.
  • Maintain accurate electronic medical records, ensuring confidentiality and data security at all times.
  • Support operational efficiency by managing supplies, troubleshooting issues, and contributing to process improvements.
  • Promote patient dignity, privacy and choice, ensuring excellent communication throughout their journey.
  • Adhere to governance, infection control, and safety policies while supporting the development of a positive centre culture.
