The Facilities Assistant is responsible for all front and back of house services, including Reception, hospitality, Telephony and Post room.
Responsibilities include:
- Forward electronic faxes to recipients within the office following the firm's fax policy.
- Meet and assist all clients and visitors, including recording details of persons visiting.
- Provide catering and refreshments for various occasions:
- Client/internal meetings
- Client events
- Staff parties
- Ensure meeting rooms are maintained to the highest standards and prepared/cleared promptly.
- Coordinate time management to meet organisers’ schedules.
- Notify office manager of any repairs required.
- Replenish the fridge with bottles of water throughout the day.
- Set up laptops and webinars as required.
- Answer and redirect all incoming calls politely and friendly.
- Prepare, maintain and distribute telephone extension lists.
- Take messages and ensure they are passed promptly to the intended person.
- Adhere to SOPs.
- Open, sort and distribute incoming mail each morning.
- Datum stamp all mail and cheques before scanning.
- Scan all incoming post.
- Scan and redirect post for other offices following correct procedures.
- Record all special and registered mail and obtain a signature when passing to the recipient.
- Record items delivered to the office throughout the day by courier or clients, obtain a signature and deliver promptly.
- Assist with local hand deliveries.
- Understand necessary requirements for bulk copying (number, double‑sided, colour).
- Return copies by agreed deadline.
- Bind documents by checking size and type of binding comb, covering sheets and back card when required.
- Return binded items by agreed deadline.
