What you\\\’ll be doing

  • Manage contractors carrying out Facilities services and monitor their performance to ensure they comply with all safety at work requirements and to improve and develop their services.

  • Maintain records of contractors and suppliers and their contract details in the Facilities Management system.

  • Maintain records of all properties and assets and their maintenance, repair, inspection and testing in the Facilities Management system.

  • Understand how a major facilities plant can influence energy consumption and drive actions to reduce this.

  • Always be punctual, recognising the importance of this to colleagues and the smooth running of the department.

  • Provide responses and resolution to Facilities Helpdesk requests within agreed service levels

  • Ensure essential services are continually maintained by carrying out the full range of practical and manual handling aspects of the following: –

  • PAT testing, replacement of lighting consumables and fuses

  • Water services testing

  • Furniture, fixtures and fittings: repairs, adjustments, layout alterations.

  • Maintain records of all aspects of the department\\\’s compliance with health and safety legislation.

  • Maintain records of the servicing of security systems, fire safety systems, alarms and lifts for the fire and emergency services

  • Carry out general repairs and maintenance of infrastructure

  • Manage and monitor the activities of specialist contractors providing services and the maintenance and repair of: -Security, cleaning, catering and vending services, heating/cooling/air-conditioning systems, lighting and power services including UPS systems, generators air-conditioning systems, and lifts, Security and fire systems, printers/copiers, headsets, projectors and other office equipment exterior ground and property maintenance, Interior property maintenance, signage, décor, floor coverings

  • Manage and develop relationships with contractors and ensure they conform to all safety at work requirements

  • Control costs and maintain budget management procedures, where applicable

  • Undertake training as required to ensure competence for all health and safety compliance requirements

  • Liaise with management, end-user departments and Project Managers to plan layout changes or alterations to campaign requirements

  • Develop relationships with end-user departments and other support departments

  • Deputise for the Facilities Manager during periods of leave or other official absence

  • You are responsible and accountable for information security in line with the published Security Policy

  • Strive to provide the customer with a first-time resolution whenever possible.

  • Ensure Helpdesk requests are completed within required timescales.

  • Complete layout changes or other alterations within project timescales.

  • Monitor contractors to ensure agreed service levels are met and maintained.

  • Ensure adherence to Facilities budget requirements.

  • Maintain risk assessments, method statements and work permit procedures for all Facilities activities.

  • Ensure appropriate risk assessments, method statements and work permits are adhered to for all contractor activities.

  • Ensure appropriate personal protective equipment is used by Facilities team and contractors.

  • Ensure chemicals and hazardous substances are controlled and used according to legal requirements and local legislation.

  • Report all accidents
