We’re looking for an organised, observant and reliable Inventory & Property Inspection Co-ordinator to join Webbs Estate Agents.
This is a role where attention to detail really matters. You’ll be responsible for creating accurate inventories, carrying out property inspections, completing check ins and check outs, and providing clear, factual reports that help protect our landlords, tenants and the wider business.
You’ll also have plenty of independence. You’ll manage your own diary, plan property visits across the Staffordshire and West Midlands region and make sure inspections and reports are completed accurately and on time.
It’s a varied role that combines property knowledge, organisation, customer service and good judgement, with every visit giving you the opportunity to represent Webbs professionally in customers’ homes.
What you’ll be doing
Preparing accurate and detailed property inventories, recording condition, cleanliness, contents, fixtures, fittings and any existing damage.
Carrying out tenant check ins, including meter readings and recording relevant property information.
Completing routine property inspections and identifying maintenance issues, damage, deterioration, damp, mould, leaks, condensation or other concerns.
Carrying out property check outs and accurately recording changes to condition, taking fair wear and tear into consideration.
Taking clear photographic evidence to support inventories, inspections and reports.
Checking smoke and carbon monoxide alarms and highlighting any safety or compliance concerns.
Producing clear, factual and professional reports within required timescales.
Managing your own diary and organising property visits efficiently.
Planning your visits geographically to make the best use of your time and minimise unnecessary travel.
Managing competing priorities, including inspections, reports, actions and follow ups.
Communicating professionally with tenants, landlords and colleagues.
Escalating urgent, serious or compliance related issues promptly.
Working closely with the Property Management team to ensure issues are identified and dealt with effectively.
What success looks like
Success in this role means providing the Property Management team with clear, accurate and reliable information about a property’s condition through detailed observations, photographs and professional reports.
You’ll play an important role in protecting our landlords, tenants and the business, helping identify issues early and supporting informed decisions throughout the tenancy.
Above all, we’re looking for someone who takes pride in their work, has an eye for detail, delivers excellent customer service and takes ownership of their workload.
What we’re looking for
Previous experience within residential lettings or property management, including inventories, check ins, check outs or property inspections.
Excellent attention to detail, with the ability to spot defects, changes and potential concerns.
Strong written and verbal communication skills.
A professional and approachable manner when dealing with landlords, tenants and colleagues.
Excellent organisation skills and the ability to manage your own diary, workload and priorities.
Good IT skills and confidence using property management, inspection or inventory software.
The ability to produce clear, factual and professional reports.
Reliable, punctual and self motivated, with a strong sense of ownership.
A full UK driving licence and suitable vehicle for business use.
The right to work in the UK.
Experience using property inspection or inventory software.
Knowledge of residential property compliance requirements.
Understanding of fair wear and tear and deposit considerations.
Knowledge of common residential property maintenance issues.
Experience managing a diary involving multiple property visits.
Experience using photographic evidence to support property records and reports.
ARLA Level 3 qualification, or a willingness to work towards one.
What this role really contributes
This isn’t simply about completing inspections and ticking boxes.
The information you capture provides an important record of a property's condition and helps our teams make informed decisions throughout the tenancy. Spotting an issue early can prevent problems from becoming bigger ones, while accurate reporting helps protect both our landlords and tenants.
You’ll also have a direct impact on our customer experience. You’ll be visiting customers’ homes, communicating with tenants and landlords, and representing Webbs every time you attend a property.
How well you organise your diary, manage your time and follow things through will also have a direct impact on our Property Management teams and the smooth running of our tenancies.

The role at a glance
Role: Inventory & Property Inspection Co-ordinator
Location: Office and Field Based, with field visits across Staffordshire and the West Midlands region
Salary: £30,000 per annum
Contract: Permanent
Travel: Required
Hours: 39.5 hours per week, Monday to Friday, 09:00 to 17:30, including a 30 minute unpaid break each day, plus 1 in 3 Saturdays, 09:00 to 16:00, with a day in lieu during the week.
