About the Job
As an Office Operations Administrator in our operations team, you’ll be based full time in our London office (standard hours 9am to 5pm UK time).
This role will be responsible for supporting the efficient running of the office operations while providing essential administrative support across our wider operations teams, and in particular managing our UK product wrapper transfers and day‑to‑day operational activities to provide a seamless and efficient customer experience for our clients.
You will be in close contact with all areas of the operations team and the wider Alpaca UK teams and this role requires someone who is highly organised, able to manage multiple tasks at once whilst working under pressure.
- Typical Day
- Coordinate administrative functions to ensure smooth office operations and compliance with company policies.
- Manage visitors to the office, greeting, handling incoming calls, and managing correspondence.
- Act as the main point of contact for office administration related queries.
- Manage incoming and outgoing post.
- Serve as the primary contact for office maintenance, service requests, and IT‑related issues, ensuring timely resolution.
- Process operational tasks such as transfers and cash payments across ISAs, JISAs, GIAs and Pension wrappers.
- Work as part of a small team, using effective communication to ensure daily tasks are completed with a high degree of accuracy.
- Operational activities change from time to time as the business grows to meet the changing demands of a rapidly scaling Operations function.
- Develop your UK Finance Operational knowledge and learn more about the functions at Alpaca.
Requirements
- Experienced with a similar office administrator role coordinating office activities or general administrative experience, and willing to learn.
- Great attention to detail.
- Experience with established platforms and fast‑paced environments.
- Willingness to learn more about and take ownership of processes and customer outcomes, delivering the best outcomes for our clients.
- Organised and comfortable communicating across teams.
- Technical build interest and keen to operate in a tech-focused environment.
- Ideally experienced in the UK financial services industry or strong passion to learn about and develop within that industry.
