We are looking for an organised, numerate and detail-focused Purchasing & Stock Coordinator to join a busy team and take ownership of stock monitoring, purchasing and supplier orders. This is an important role within the business, ensuring customers have the stock they need while working closely with suppliers, freight forwarders and internal teams. You will monitor customer stock levels and usage, identify replenishment requirements and manage purchase orders through to delivery. Accuracy is essential, as you will be responsible for ensuring purchase and sales orders contain the correct pricing, quantities, customer information and import/export documentation. Over time, you will take ownership of one or two key supplier categories, managing everything from stock levels and pricing through to supplier relationships, deliveries and resolving any issues.
Key Responsibilities
- You will monitor customer stock levels, raise and track purchase orders with US-based suppliers and prepare accurate sales orders for customers.
- You will check pricing against current price lists and contracts, maintain purchasing and stock records, monitor outstanding orders and chase suppliers where necessary.
- The role will also involve creating delivery notes and invoices, liaising with freight forwarders, preparing shipping documentation and communicating with both suppliers and customers regarding orders, lead times, stock levels and forecasts.
- You will also support the finance team with purchasing and invoice queries and provide general administrative support to the logistics function.
About You
We are looking for someone who is highly organised, dependable and naturally detail-focused. You will be comfortable working with numbers and pricing and will have a methodical approach to checking your own work. Strong Excel skills are important, including experience with formulas, lookups, pivot tables and data validation. You should be confident managing multiple live orders and priorities and comfortable communicating with suppliers and customers. Ideally, you will have 2–4 years' experience in purchasing, sales order processing, stock/inventory administration, logistics or a finance/accounts environment. A finance or numerate background would be particularly useful. Experience with import/export processes or international purchasing would be an advantage, particularly experience working with US suppliers, although training can be provided.
What Success Looks Like
You will play an important part in ensuring stock shortages are anticipated and avoided, orders are processed accurately and suppliers and freight forwarders have the information they need to keep deliveries moving. Attention to detail is key – the aim is to identify and resolve errors before documents leave the business.
Working Hours
Monday to Friday, 8:30am – 5:00pm, with a 30-minute lunch break. This is a full-time, office-based role working 40 hours per week.
Holiday & Benefits
You will receive 24 days' annual leave plus 8 bank holidays, as well as an additional 4 paid Jewish holidays where these fall on a weekday. Benefits include a NEST pension scheme with a 3% employer contribution. Employees contribute a minimum of 5%, with the option to increase their contribution. There is also the option to join the Bupa private medical insurance scheme following successful completion of probation. The company covers the full cost of the medical insurance, with employees responsible for any Benefit in Kind (BIK) tax arising.
