To support this expansion, we are seeking a Project Coordinator to provide structured, detail‑driven support to our acquisition, construction and project management teams. Role Summary
This is a remote‑based Project Coordinator role, supporting the Property, Legal and Construction Departments at We Do Play. You will act as the central administrative hub for our new site build programme, ensuring projects stay on track and on budget. From maintaining project documentation and timelines to coordinating between stakeholders and contractors, you’ll help drive momentum across our live and upcoming developments.
Key Responsibilities
Provide daily administrative and coordination support to Project Managers and Construction Leads
Maintain detailed project trackers, construction schedules, and build programme documentation
Assist in the compilation of pricing packs, procurement documentation, and contractor contracts
Support site‑specific logistics such as landlord liaison, planning compliance, and retail delivery documentation
Schedule project meetings, prepare agendas, take meeting minutes, and track action items
Monitor project milestones and maintain visibility on progress against timelines
Liaise with external suppliers, consultants, and contractors on build programme updates
Organise digital filing systems and ensure all documents are current and accessible
Support cost‑tracking processes, invoicing accuracy, and project budget reporting
Contribute to the planning and coordination of operational readiness for site openings
Carry out ad hoc administrative tasks, including internal communications and database updates
Requirements
Proven experience in an administrative or coordination role
Prior exposure to construction, property, or project delivery environments preferred
Excellent organisational and time‑management skills
Ability to manage multiple workstreams and deadlines simultaneously
High attention to detail and a proactive approach to problem‑solving
Strong written and verbal communication skills
Comfortable working independently and remotely
Confident using Microsoft Office (especially Excel), Outlook, Teams, and cloud platforms like SharePoint or Google Drive
