Role Summary: The Office Operations Manager will play a pivotal role in building the organisational backbone of Artery, ensuring back office operational efficiency, budget sustainability, and smooth internal coordination. This person will be a trusted partner to the team, enabling the organisation to scale its impact without compromising its processes. This role involves setting up and optimising internal processes, supporting HR and finance functions, facilitating employee onboarding, and enabling efficient cross-departmental communications. The Office Operations Manager will also work closely with specialised teams (curatorial, patron development and marketing) to ensure integrated execution.
Key Responsibilities:
- Process Design & Optimisation
- Establish and refine internal processes, templates, and playbooks to improve efficiency and scalability
- Implement systems for documentation, data management, and internal knowledge sharing
- Monitor workflow effectiveness and identify process bottlenecks for continuous improvement
- Develop SOPs for core functions (e.g., compliant management, artist onboarding, KYC/AML processes)
- HR & People Operations
- Partner with the CEO to support hiring, onboarding, and retention of mission-aligned team members
- Develop and maintain internal culture guides and training modules
- Manage HR documentation, contracts, and compliance
- Support performance management and professional development initiatives
- Facility Management
- Provide facility management support to our office or studio assets, including but not limited to housekeeping, landlord management, coworking arrangements etc.
- Budget Support & Resource Management
- Support budget adherence, expense tracking, and budget reporting
- Coordinate with the accountant on payroll, vendor payments, and cashflow management
- Coordinate with the auditor on reporting requirements
- Stakeholder Onboarding & Relationship Management
- Develop and execute smooth onboarding experiences for internal and external stakeholders (staff, artists, partners, advisors)
- Ensure clear communication of Artery’s values, processes, and impact metrics
- Maintain accurate stakeholder records and engagement history
- Risk Management & Operational Resilience
- Identify operational risks and implement preventive measures
- Develop contingency plans for critical functions (e.g., event disruptions, financial shortfalls)
- Ensure compliance with regulatory requirements and industry best practices
- Strategic Partner to the CEO
- Act as a sounding board for strategic decisions and organisational pivots from an operational perspective
- Provide operational insights and proposals that could contribute to Artery’s long-term growth
- Support the CEO in managing internal bandwidth and prioritising initiatives
Key Attributes:
