Join our Team! We’re looking for a highly organised and proactive Admin Assistant (Buying & Shoot Production) to join our team. Supporting the Head of Creative and working closely with Buying, Merchandising and Catalogue teams, you’ll play a key role in delivering best-in-class photoshoots and catalogue production. This is a fast-paced, hands-on role where no two days are the same, from coordinating shoot logistics to supporting financial reporting and managing samples. What you’ll be doing
- Photoshoot coordination & planning: Support the Head of Creative in coordinating all logistics for photoshoots. Arrange bookings for models, travel, accommodation and catering amongst other things. Ensure all shoot elements are delivered seamlessly in line with agreed plans. Maintain up-to-date contracts for models and location hires. Creation of call sheets detailing agendas for photoshoots.
- Pre-shoot & catalogue support: Collaborate with the Catalogue Coordinator on planning activities. Help create garment lists, identify props and accessories, and track sample requirements. Support the preparation and organisation of all shoot assets.
- Financial & administrative support: Ensure all invoices from shoot suppliers are received, checked and submitted to accounts. Assist in raising purchase orders with the Buying team. Run financial reports to support the Buying & Merchandising teams. Support catalogue sales reviews and performance analysis.
- Cross-team collaboration: Work closely with Buying and Merchandising teams to manage samples and admin tasks. Assist with day-to-day administrative duties across the wider team.
