Families First are seeking an experienced clerical officer to work within their team as a Contact Coordinator. The role is fast paced and developing with the children's services reforms. Experience of recording data, using Eclipse (or similar) and Outlook are required. The coordinator will need to be able to follow clear process guidance and share information with other local authorities and teams within the service whilst ensuring timely recording of information under guidance from the Team.
We are seeking an enthusiastic individual with excellent organisational and interpersonal skills to support the Business Support Team within our Families First Service. In order to undertake this role, it’s essential that you have the following:
- GCSE Grade A*-C (9-4) or equivalent in Maths and English.
- A willingness to undertake appropriate learning and development as required.
The ideal candidate would also have the following desirable qualifications and knowledge:
- A good working knowledge of Microsoft Office software packages.
- Experience of working in a clerical or administrative environment.
- Experience of working in a team.
- NVQ Level 2 or 3.
- Knowledge of databases and recording such as Eclipse/Care First or similar.
Clerical officers will all undertake a range of generic clerical work. There are a number of more specialist tasks which all clerical staff will be expected to undertake. The balance (%) of tasks will differ depending on the service area. To provide clerical and administrative support across a range of departmental activities including data inputting and processing, and undertaking specialist administrative tasks. The role requires the candidate to search through a variety of different systems to identify families, summarise historical involvement with Services and add Contact Records to our system. The information they will be reading is highly sensitive and can be, at times, distressing. Accuracy is key to this role, as is confidentiality. The candidate must be able to self‑motivate, follow process accurately, and work within a busy team.
Team work schedule: 8am-8pm. We would welcome applicants who can work within this shift.
Key responsibilities include:
- Search multiple systems to identify families, summarise historical involvement, and add Contact Records to our system.
- Handle highly sensitive and potentially distressing information with accuracy and confidentiality.
- Self‑motivate, follow process accurately, and work within a busy team.
- Arrange meetings and conferences with internal and external agencies requiring strong interpersonal and communication skills.
- Engage with users of the service using tactful communication.
- Keyboard proficiency with typing and word‑processing skills.
- Note‑taking requiring literacy and numeracy skills.
- Process and manage confidential information day to day.
- Seek support and manage emotional responses when exposed to client information that is sensitive or distressing.
